Job Description:

The Deficiencies  Quoting Specialist  in the Fire and Safety Industry plays an essential role in ensuring the smooth running of the office, supporting the work of the management and staff, and maintaining a safe and healthy workplace. The ideal candidate has some awareness of the full scope of what a repair, inspection, or service job may entail, what materials and human labor may be needed, and the aptitude to advise clients of such. We are open to training for this role the right candidate who has demonstrated aptitude and business acumen.

Responsibilities:



Administrative Support

• Answering phone calls and emails, managing correspondence, and responding to customer inquiries.
• Strive to maintain the highest level of customer satisfaction.
• Process all documents with accuracy and efficiency.
• Organizing and coordinating technicians' schedules, meetings, and events.
• Preparing reports, presentations, and other documents as required.
• Maintaining accurate records and filing systems.
• Coordinating travel arrangements for staff and management.

Financial Management

• Assist with the preparation of invoices, purchase orders, and expense reports.
• Managing accounts payable and receivable records to send to head office.
• Preparing budgets, processing and tracking local work orders, local purchases and ensuring associated documentation is processed for head office.

Human Resource Management

• Assisting with recruitment and onboarding of new staff.
• Maintaining employee records and updating employee information.
• Coordinating employee training and development programs.
• Assisting with managing employee benefits and leave requests.

Health and Safety

• Ensuring compliance with health and safety regulations.
• Conducting risk assessments and implementing appropriate measures.
• Coordinating emergency response procedures and drills.

Requirements:

• Business Administration Diploma or equivalency is preferred.
• 2+ years of work experience in fire and life safety, construction, or related field is an asset.
• Excellent knowledge of Microsoft Office Suite products and high level of computer proficiency.
• Strong organization skills and the ability to multi-task in a high paced environment.
• Experience scheduling skilled labor or strong aptitude for logistics.
• Inventory control knowledge or experience is a plus.
• An extraverted personality and customer service orientation.
