Job Function:
Respond to inquiries and perform data processing services including inputting, updating, etc, to various Hydro One systems and tools.
Job Description:
Perform data processing, such as input, output, maintain, and update data to Hydro One systems and tools. Perform testing on Hydro One systems and tools as required.
Maintain employee records including Apprenticeship/Trainee Programs.
Perform various clerical services such as receiving and distributing mail and faxes. Maintain stationary stock, answering of phone inquiries, assisting with general inquiries, pay related issues, and investigate non compliance. Prepare Employee Information Changes # address changes, board/travel changes, emergency contact. Photocopy, prepare and maintain reference binders, update manuals and post various communications to staff, etc.
Prepare and distribute letters as needed, seniority and transfer lists, Medical Leave of Absence letters, FCF packages and conduct follow up to Functional Capabilities Form (FCF) and Modified work plan (MWP) as required.
Provide day-to-day maintenance of office equipment, photocopiers, faxes and printers such as filling copiers with paper, changing ink, etc. Arrange for service visits, when required.
Assist Workforce Acquisition Coordinator's in the maintenance of maintaining a mobile workforce. Check Hydro One system and tools for progressions and submission of both return and leave of absences (standoff, personal, medical, maternity, trade school), terminations and transfers.
Prepare and distribute employment letters, as needed.
Perform other duties as required.
Selection Criteria:
Education:
Requires a knowledge of computer technology and data processing to operate computer equipment and databases.
Requires knowledge of English to follow written or verbal instructions and to communicate with others. Requires knowledge of arithmetic to verify various reports/documents.This knowledge is considered to be normally acquired either through the successful completion of Grade XI in a Secondary, Commercial or Technical School or by having the equivalent level of education.
Experience :
Requires experience with office practices and procedures such as filing, answering telephones and arranging meetings. Requires experience with computers and to understand input and output procedures for various computer programs used by the department and clients.
Requires knowledge of various software applications to input and retrieve various reports.
Requires experience with various software packages ie: SAP, Word, EXCEL, Access, TIMS, Power Point, Visio.A period of up to two years is considered necessary to gain this experience.
Problems may occur when preparing input data or when working with other related data aspects due to continuing changes. Requires utilizing existing procedures and, in some cases, discussing problem areas with others, either within the work group or with clients, selecting the most appropriate procedure and making minor adjustments as necessary to accommodate the problem encountered.
Requires operating a terminal for varying periods daily with frequent breaks to perform clerical and related work. Requires standing and walking for frequent short periods daily in the filing of data and in the reference to files.
Requires frequent periods of concentration for short periods of time daily while performing such duties as typing, correspondence, answering telephones, filing drawings and other clerical assignments. Requires occasional periods of prolonged concentration when inputting data, schedules and information utilizing a computer terminal.
Work assignments are usually received from the Supervisor, others in the work group, various clients or through routine work flow and are processed according to established procedures or are based upon instructions received on certain features of assignments. Requires proceeding with assignments and referring questionable situations encountered, such as the setting up of new databases, etc, to the Supervisor or others for clarification or further action to be taken. Assignments are checked by the Supervisor through frequent progress and quality checks on specific aspects of the work provided by the Supervisor or others.
May on occasion require showing others how to perform tasks or duties.
Requires regular contact with clients and staff throughout the department in order to gather, provide or explain information with respect to board/travel entitlements, pay cheques, computer programs and data.
Errors caused by filing information incorrectly could result in outdated information being used, as well as the time of the individual or others to locate the right material. Errors in the inputting and processing of pay-related information, ie. progressions, tranfers, leaves of absence would be detected through the computer system, self checks, generated reports and Supervisor approval process. These errors would involve minor expense and time for correction.
Requires performing a variety of duties in the usual business office environment.
