Job Description Regional Sales Coordinator:
As Regional Sales Coordinator, you will provide administrative and day-to-day support for the Sales department, ensuring the highest levels of Guest Service are met and support the hotel's revenue goals in the Corporate & Leisure segments.

What you will be doing:
Reporting to the Director, Business Travel, you will be responsible for administrative duties for our five hotels in the Pacific Northwest region, including Fairmont Hotel Vancouver, Fairmont Waterfront, Fairmont Pacific Rim, Fairmont Vancouver Airport, and Fairmont Empress. You will also:
- Consistently offer professional, prompt and engaging service
- Support administrative duties for the Director, Business Travel
- Act as a Sales Ambassador for ALL – Accor Live Limitless and Travel agency programs
- Maintain up to date knowledge about all properties within the region
- Be a champion of the ANAIS program
- Submit and update RFP’s/rate agreements and corresponding documents
- Process/load accounts in the various micro segments within the Corporate market
- Update hotel information in various databases (i.e./ Cvent and all RFP platforms)
- Prepare daily welcome amenities/ cards
- Prepare agreements and rate proposals
- Act as a key administrator for corporate agreements in Proposal Path
- Assist with the organization of sites, entertainment and FAM’s
- Coordinate all aspects of client lunches and other corporate travel client/agency events
- Log daily activities for direct Managers
- Communicate with and assist clients while direct Managers are out of the office
- Coordinate corporate rate loading with Revenue Management/Accor Distribution
- Update master tracking documents with accurate and accepted corporate rates
- Assist with the coordination of projects and reporting
- Complete Corporate Travel and Agency month end reporting for the Region
- Assist in qualifying leads and direct to the appropriate market
- Assist with preparation and follow-up of sales trips and FAM visits
- Assist with coordinator office support at base hotel (Fairmont Hotel Vancouver)
- Assist with coordinator support for other market segments within the region on behalf of base hotel
- Coordinate with other departments within the region to ensure distribution of important information
- Build and maintain an excellent knowledge of all five Regional properties; Fairmont Waterfront, Fairmont Hotel Vancouver, Fairmont Pacific Rim, Fairmont Vancouver Airport and Fairmont Empress
- Follow all hotel policies, procedures, and safety standards
- Perform any other duties and special projects as assigned
Qualifications Your experience and skills include:
- Service focused personality is essential, relevant sales experience an asset
- Computer literacy with intermediate to advanced competency in Microsoft Office, Publisher, Opera Property management System and Cloud applications
- University/college degree or diploma an asset
- Knowledge of each hotel’s services and facilities a strong asset
- Excellent communication skills, both written and verbal required
- Keen attention to detail and exceptional organization skills
- Ability to multi-task, coordinate competing priorities, and meet deadlines
- Ability to focus attention on client needs, remaining calm and courteous at all times
- Professional and well-presented appearance, communication, and demeanor
- Highly responsible, reliable and a self-starter
- Ability to work independently, in a fast paced market, while contributing to an overall team
- Strong interpersonal and problem solving abilities
- Able to work evening and weekends when necessary
Additional Information Visa Requirements:
Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
