Position: Executive Assistant  
Location: Ottawa (Onsite)
Job Type: Temporary

We are seeking a dedicated and efficient Temporary Executive Assistant to provide high-level administrative support to our team in Ottawa, Ontario. The successful candidate will play a crucial role in assisting executives in managing their schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to ensure smooth operations.

What you will do:

- Manage executives' calendars and schedules, including arranging meetings, appointments, and travel arrangements.
- Screen and manage incoming calls, emails, and correspondence, prioritizing and responding as necessary
- Prepare and edit documents, presentations, reports, and other materials as requested
- Coordinate and organize meetings, conferences, and special events, including booking venues, catering, and logistical arrangements
- Take minutes during meetings and distribute them to relevant parties
- Assist with basic accounting tasks such as processing expense reports, invoices, and reimbursements
- Maintain confidential records and files, ensuring accuracy and compliance with company policies
- Perform general office duties such as filing, photocopying, scanning, and faxing
- Liaise with internal departments, external partners, and clients as needed
- Provide ad-hoc administrative support to other team members and departments as required

The experience you have:

- Proven experience as an Executive Assistant or similar administrative role
- Excellent organizational and time-management skills, with the ability to prioritize tasks effectively
- Ability to communicate clearly in English and French, with the ability to interact professionally with internal and external stakeholders
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Attention to detail and accuracy in all tasks performed
- Ability to maintain confidentiality and handle sensitive information with discretion
- Flexibility and adaptability to work in a fast-paced environment and handle multiple tasks simultaneously
- Professional demeanour and positive attitude, with a willingness to take initiative and solve problems independently
- Diploma or degree in Business Administration, Office Administration, or a related field is preferred but not required
