Role and responsibilities

The Document Controller is responsible for sending, receiving, distributing, circulating, tracking, expediting and archiving all official project documents to, from and within the company/project.

• Organize and maintain project documents repository (reports, letters, procedures, records).
• Effectively organize and maintain all project technical and non-technical documents.
• Facilitate document workflows through notifications and progress reporting.
• Execute and maintain schedule of document transmittals to clients, vendors and regulatory bodies.
• Improve documentation efficiency and assure compliance with processes.
• Ensure that all incoming and outgoing documentation related to the project is properly recorded, verified and tracked, following quality and project standards.
• Check that all documents are compliant to project specifications and/or client requirements.
• Issuance of documents to project staff, client and third parties.
• Maintain documentation progress through periodic reports, issue notices and alerts to stakeholders ‘in action’ to ensure document workflow schedule performance.
• Maintain and update a filing system in accordance with project documentation structure.
• Other related tasks.

Qualifications

Education: Degree or diploma in a related field (Business, Administration).

Years of experience: Minimum of 2 years of experience working in continuous and variated tasks related to document management on an Engineering Transportation project.

Technical competencies:

• Advanced knowledge of Microsoft Office Suite.

• Procore, Aconex or equivalent is an asset.

Remuneration : The salary range for this position is $55,000-$75,000 per year. The exact salary will be determined based on various factors, including but not limited to: education, relevant and demonstrated work experience in the role, skills, qualifications, certifications, competencies and other relevant criteria.
