Description
The Community Program Coordinator is responsible for the implementation, instruction, and coordination of community-based programs in accordance with The Salvation Army mission, values, and standards, and to recruit and manage volunteers to carry out said programs. Additionally, this position provides administrative support to the Community and Family Services department.
KEY RESPONSIBILITIES:
General
- Organize and coordinate community programs in accordance with The Salvation Army’s mission and values.
- Facilitate Community Lunch and Cooking Club programs.
- Assist with Anger Management, TASK, Red Cap and ALPHA programs.
- Under the direction of the Community & Family Services Manager, assist with new and existing program and service provisions in the community.
- Assist Community & Family Services Manager with assessing community needs and review client feedback to determine potential programming and develop a strategy for the implementation of such programs to ensure they meet contractual, legal, and internal requirements.
- Develop promotional items, forms, brochures, and content for social media channels, including Community & Family Services web page.
- Ensure that all duties are completed in accordance with the principles, standards, policies, and procedures of The Salvation Army.
- Network with referral agencies and/or other community sources as required.
- Oversee, support and where applicable participate in the following seasonal programs provided by Community and Family Services i.e., Christmas Programs, Home Share, Pathway of Hope, Community Lunch, Camp Programs; aid with other programs as required.
- Assist with event logistics in coordination with Community & Family Services Manager.
Volunteer Coordination
- Develop goals and objectives for the volunteer program; implement and review policies and procedures relating to the program with the Community & Family Services Manager.
- Create and assist in presentations promoting volunteer opportunities.
- Manage community volunteers by utilizing TSA Volunteer Services Program to recruit, train, schedule and supervise volunteers.
- Monitor the performance of all volunteers to ensure high quality services are provided to our clients.
- Maintain volunteer database, including updated job descriptions, task lists, opportunities for all volunteer positions, shifts, schedules, and hours.
Administration & Finance
- Receive, record, secure monetary donations, prepare bank deposits and issue donation receipts for income tax purposes.
- Provide input in the development and implementation of policies and procedures for Community & Family Services programs.
- Assist with preparing and submitting grant funding applications; complete timely, accurate reports as required.
- Maintain confidentiality and statistical information (activity reports, etc.) to ensure that Community & Family Services policies and procedures are followed in adherence to Operating Policies & Procedures for the safe/secure handling of all monetary donations received and appropriate documentation of gift cards and various vouchers is maintained.
- Conduct all administrative duties as outlined with due diligence.
Seasonal
- Coordinate volunteers for Christmas Hamper Registration, Just for Kids, Community Christmas Dinner, and all events pertaining to Christmas Hamper Distribution.
- Coordinate Community Christmas Dinner in consultation with the Community & Family Services Manager.
- May be required to assist with the coordination of the Kettle Campaign, including but not limited to recruitment of volunteers, kettle site set up, security of kettle donations, counting and recording kettle donations.
Health and Safety
- Ensure that the Community & Family Services and Food Bank area is tidy in relation to appearance, condition and safety as recommended by Public Health etc.
- Ensure the safety and comfort of the ministry unit by maintaining cleanliness and food safety etc.
- Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
Perform other job-related duties as required.
WORKING CONDITIONS:
- This is a permanent full-time position based on 37.5 hours per week.
- Flexibility in scheduling is required, some weekend and evening work may be required.
- The Supervisor will set the hours of work and work schedule.
- Working environment is typically in the office, classroom and kitchen in generally agreeable conditions.
- This job requires reaching, bending, and stooping; frequently working in sitting and standing positions for periods of time.
- May be exposed to disagreeable people including the occasional angry and/or abusive client/public, working with people from a diverse range of backgrounds and histories.
- Ability to lift/move/transport awkward objects and/or materials up to 40 lbs.
- Some travel is required.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Completion of High School.
- Completion of a Community College Diploma is an asset.
- Current First Aid/CPR Certification preferred or willingness to obtain.
- Current Food Handlers Certification preferred or willingness to obtain.
- Alternative combinations of education and experience may be considered.
EXPERIENCE AND KNOWLEDGE:
- Minimum of 2 years’ experience in a related field, including working with clients and volunteers.
- Knowledge of community-based resources and experience networking with government and community agencies.
- Previous experience with program development and facilitation, administrative/accounting duties, and event planning.
- Knowledge and proven ability to carry out basic cooking/baking techniques for small and large groups.
- Knowledge of community-based resources and the ability to deal effectively with the public, government, business leaders and professionals.
- Valid Ontario Class “G” Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
SKILLS AND CAPABILITIES:
- Proficient computer skills and experience using Microsoft Office Suite and other digital tools such as Canva.
- Capable of managing and supervising volunteers.
- Self-motivated, disciplined, and non-judgmental; strong work ethic.
- Ability to prioritize, organize and adaptable when managing multiple tasks in a fast-paced environment; the ability to complete assignments and meet deadlines with minimal supervision.
- Self-motivated multitasker who can work independently and participate as an active and responsible team member in a cooperative team environment.
- Demonstrate a high level of integrity, good judgment, and maintain appropriate professional boundaries and confidentiality.
- Ability to perform general administrative tasks; enter data and perform statistical analysis efficiently and accurately.
- Attention to detail, problem solving and analytical skills.
- Ensure all clients and donors are treated with dignity and respect.
- Willingness to work with individuals of differing backgrounds and cultures than your own.
- Demonstrate patience and compassion when working with challenging and/or emotionally dependent individuals.

- Conflict Resolution skills are a definite asset.
- Exhibit good listening skills; have strong oral/written communication skills.
- Represent the organization in a professional and engaging manner.
- Must comply with all Salvation Army policies and procedures and associated legislation.
- Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background check search.
- Ability to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
