Position Summary
This position reports to the Manager, Human Resources and provides support to the Vancouver-based Human Resources, Total Rewards, and Talent Development teams and multiple Global Directors, which includes travel and event planning and coordination, filing, documentation, invoicing support, photocopying and other administrative tasks.
In addition, with support of the Executive Assistant for Corporate Resources, this position plans HR department activities such as teambuilding and holiday events.
This position is integral to the efficiency of the department by creating a well-organized and functional environment by handling the day-to-day administrative activities to enable the HR team to focus on the critical business objectives for the department.
Position Responsibilities
- General Administrative Support to; Vancouver HR team, HR Directors, Total Rewards team and Talent Development team as required.
- Coordinate conference calls and meetings (internal and external), including booking rooms and equipment, setting up catering; and preparing agendas for Vancouver based HR teams.
- Coordinate travel and visa requirements within guidelines of the Global Travel Guidelines. Prepare comprehensive travel itinerary for travellers.
- Process all invoices in a timely manner; prepare and properly code expense reports; reconcile monthly to ensure targets are being met.
- Organize and coordinate logistics related to meetings, dinners, events, and agendas, including booking travel and/or accommodation for GHRL.
- Responsible for document archiving for department.
- Aid in the orientation of new team members.
- Support Executive Assistant in peak periods (e.g. GHRT face-to-face meetings) and provide backup coverage during absences. Overload coverage for Vancouver HR team when required.
- Plan and coordinate the HR teambuilding and holiday events in collaboration with EA.
- Act as a proactive team member of the Vancouver administration assistants’ team, attending all meetings and sharing information where applicable. Provide support to other admin assistants when possible.
- Support Vancouver HR team and global directors with day-to-day activities and projects.
- Serve as member of SharePoint super-user team and manage permissions on SharePoint to ensure proper security of sensitive documents and data.
- Support content creation and posting for HR related pages.
- Support Vancouver HR team as needed with the coordination of training and development sessions, for example: MLE, Switch On, and Lunch and Learns.
Position Qualifications
- 2+ years’ experience in a similar role
- Post-secondary education in the field of Business Administration and/or Human Resources would be a major asset.
- Strong interpersonal and communication skills, very strong administrative skills (planning, organizing, coordinating, implementing)
- Must be detail oriented.
- Skilled at proofreading and editing documentation.
- Advanced computer skills, including Word, Excel, PowerPoint, SharePoint
- Ability to manage confidential issues with tact and diplomacy.
- Expert time management skills and loves the challenge of managing multiple activities at the same time.
- Proactive, self-directed, and highly motivated, sense of humour and ability to be flexible; balanced perspective.
- Ability to respond to on-going, multiple, and varied demands.
- Ability to perform under pressure in a demanding environment with a high degree of confidentiality
