Job description

We are currently looking for an HR Administrator to join our client, one of Canada's largest insurance and financial services companies, in Waterloo.

The HR Administrator will be responsible for providing administrative support for a time sensitive initiative with Human Resources. Specifically, the Analyst will be focused on analyzing and handling files within our digital documentation management systems. This role requires individuals to work primarily independently as well as in close partnership with the Global HR Shared Services Best Practices Partner while maintaining a positive, flexible attitude, and willingness to shift priorities quickly to support a high-volume workload and changing deadlines. Attention for detail and achievement motivation will be strong drivers for the success of the incumbent.

Responsibilities
Main Accountabilities:
Identify and Analyze Documentation
- Search for and identify specified files within electronic folders using provided reports. Interpret specified conditions to qualify the document.

Document Management and Organization
- Consolidation of qualified documents as copies to a secure location in an organized manner and standard.
Independent Task Management
- Ability to manage project task independently, estimate and schedule work, prioritize, ensure high quality and accuracy, communicate regular status updates or issues to the Best Practices Partner in a timely manner.
Privacy
- Protecting information is an important part of our strategy. It's critical to preserving our reputation as a strong and trustworthy company. This role may involve confidential material so ensuring privacy, discretion and adherence to Information Security and Data Privacy policies will be essential in the day to day of this role.

Qualifications
• Honesty and Integrity
• Ability to understand and differentiate basic language within documents.
• Attention for detail, quality, and standard
• Ability to work independently and self-manage time/resources
• Capability to manage large amounts of information accurately and diligently.
• Prior Experience with desktop applications like Microsoft (Excel and Word), Adobe Acrobat (PDF), and with managing information on corporate LANs and/or SharePoint.
• Good communication skills to share timely status updates, articulate challenges, or solutions.
• High achievement motivation to see completion of work that may be high volume or repetitive.
• Completion, or working towards completion of post-secondary education.

Assets
• Prior exposure and experience managing private, sensitive, or confidential information.
• Prior experience working within an HR department
• Contract department experience is nice to have.
