West Power Energy is looking for a
Project Coordinator to join our team in our greater Los Angeles office in Arcadia or San Diego office. In this position, you will support the project management team on various projects and tasks focused on teamwork, continuous improvement, and delivering quality designs to clients. The primary duties include:
- Facilitate the dissemination of information to vendors, suppliers, clients, and project teams as part of the overall communications and project management process
- Resolve questions regarding the project; research and provide appropriate answers
- Prepare and present meeting notes, presentations, and tables utilizing Excel, PowerPoint, and other programs
- Manage project set-up preparation and compile documentation updates
- Monitor projects deadlines and benchmarks and support presentation of monthly progress reports covering action items and progress updates
- Organizes information into standard formats and reports in various systems and locations such as the project website and ERP
- Prepare routine correspondence (such as letters, memos, meeting notes, and proposals) and reviews outgoing materials for conformance with best practice standards and formats
- Support project management with project deliverables, such as managing information on the project website and electronically processing various documents (such as submittals, pay applications, bills of sale, compliance documentation, requests for information, and change documents)
- Track and monitor and/or collaborate with project accounting to ensure necessary documentation (such as insurance certifications, bonds, lien waivers, affidavits, etc.) meets compliance requirements before releasing checks to contractors
- Plan, coordinate, and facilitate on-site and off-site meetings for the project, which may include project orientation and training, stakeholder meetings, team meetings, periodic reviews, etc.
- Coordinate the required training programs and records for project personnel in conjunction with the corporate training department and project requirements to ensure compliance
- Obtain physical sign-off from project documents & maintain electronic and paper files
- Verify accuracy and compliance with project requirements of bills/invoices, trip tickets, and expense reports and process items in a timely manner
- Manage IT resources for project offices and staff by coordinating with internal support departments
- Provide follow-up reports on ARs and unbilled issues as assigned
- Administer project closeout activities
- Compose project cost forecast updates
- Establish priorities and deadlines on project deliverables
- Investigate project expenses not billed to the client and report findings to the Project Management team
- Assist the Project Manager in the preparation of client contracts and sub-contracts
- Develop procedures pertaining to internal project requirements
- All other duties as assigned
Required Qualifications - High School diploma
- Minimum 2 years of applicable experience
- Ability to work independently, demonstrating accuracy, reliability, organization, and problem-solving skills
- Must be analytical and possess the ability to work in a team environment and a variety of situations while maintaining a positive, enthusiastic attitude
- Ability to work productively, handle multiple tasks, and meet deadlines timely
- Demonstrated ability to communicate with all levels within an organization
- Proficiency with MS Office applications Strong interpersonal skills with the ability to establish and maintain effective working relationships
- Ability to perform work safely and effectively
- Ability to travel
Preferred Qualifications - Bachelor’s degree
- Proficiency in Deltek (ERP) or related program
- Advanced knowledge of Microsoft Excel, Word, and PowerPoint
This position's hourly compensation range approximation is $20.00 - $38.00, depending on numerous factors such as applicable experience, skills, knowledge, credentials, geographical location, etc
