POSITION SUMMARY
The Property Management Site Administrator supports the overall resident experience in our multi-unit residential buildings in operational activities, through established standards and processes. The administrator works with our operations and leasing support staff to ensure that the daily operations and move inn and move out process for our residents flows smoothly and our principles and program objectives are met. It is a high paced environment with a large amount of flexibility in daily role required.
Primary Responsibilities:
- Scheduling and delegation of work order tickets from tenants thru to our in-house maintenance team and customer follow-up
- Work closely with the Operations team, Sales, and Project Management, to meet deadlines and maintain high level of organization and productivity.
- Supports a strong culture of quality through the communication, metrics and processes delivered and implemented.
- Prepares and maintains documentation to ensure compliance within quality program standards and turn over requirements.
- Physically inspecting and documenting deficiencies for rectification within units
- Verifies all work orders generated for the successful execution of system generated cases and projects execution.
- Understands the customers and their quality requirements (i.e. Quality Plans, and Turnover)
- Reconciles painting and cleaning inspection directives, sizes and specifications prior to contractor assignment, verification, and approval.
- Gathers all product data from the field staff and reviews it for accuracy.
- Enters and manages data within spreadsheets and databases.
- Utilizes internal software (CRM) to assist in managing and tracking Vacated, Turned and Ready to Rent product.
- Assists with NOE and NOC coordination, requests and management of data for all sites.
- Continuously compiles and maintains turnover documentation throughout the project in preparation for final turnover, including installation summary, cleaning summary, individual turn records, and Client specific forms when required by the client.
- Assisting Supervisors with Daily site administration duties
- Interacts with organizational departments in a professional manner.
- Document Control activities as required.

- Experience with work order / maintenance documentation and data packages
- Experience in property management and construction process and terminology considered an asset
- Intermediate to advanced skills in Microsoft word and Excel
- Experience with program coordination and quality assurance are preferred.
- Experience performing construction / property management inspection activities.
- Project management skills considered an asset
