Accounting Administrative Assistant

Job description
We are seeking a detail-oriented and organized individual to join our client's team in the funeral service industry as an Administrative Assistant which is a 11weeks probation with possibility of extension, onsite contract in Ottawa, ON. In this role, you will provide comprehensive administrative support to our directors, as well as perform accurate and efficient data entry tasks. Your responsibilities will include assisting with various accounting duties and administrative duties within the company database. The successful candidate will possess excellent interpersonal skills, and have the ability to handle multiple tasks simultaneously.
Hours: Monday - Friday, 8 AM - 4:30 PM
Responsibilities:
- Finances which will include reviewing and posting the contracts within our database. The contracts are tracked in Excel using functions such as sum.
- Assist directors with a range of administrative tasks, including editing and printing both internal and external materials. Ensure all documents are accurate, well-formatted, and adhere to company standards.
- Data Entry: Input contracts and related information into the company's main database with a high level of accuracy. Maintain data integrity and ensure timely entry of information.
- Communication and Collaboration: Effectively communicate and collaborate with directors and other team members to gather necessary information, clarify instructions, and address any queries or concerns.
- Organization and Prioritization: Manage multiple tasks and deadlines simultaneously, demonstrating strong organizational and prioritization skills. Adapt quickly to changing priorities and ensure all assignments are completed within established timelines.
- Assist in the maintenance and organization of the company's database, ensuring data accuracy, integrity, and security.
- Document Management: File and organize documents both electronically and in physical form, ensuring easy retrieval and confidentiality of sensitive information.
- Adhere to company policies and procedures regarding data security, confidentiality, and privacy. Handle sensitive information with discretion and professionalism.
Qualifications:
- Minimum of Secondary Diploma certification. A diploma in Office Administration would be an asset.
- Strong communication skill, written and verbal.
- Excellent data entry skills
- Proven ability to multitask and work in a fast-paced environment.
