The Village of Fundy Albert is located in southeastern New Brunswick, and was formed in January 2023 by the consolidation of the former villages of Alma , Riverside-Albert , and Hillsborough as well as the concurrent annexation of adjacent unincorporated areas.

Job Overview

The role of Accounting Clerk/Administrative Assistant within the Village of Fundy Albert has several different accountabilities both in terms of junior accounting assignments, and administrative support activities. It reports to and takes direction from the Treasurer.

While the scope of the role will evolve with time and as required, it is a key role within Village of Fundy Albert as it supports the many accountabilities of the Finance Department. Overall, the role is accountable to ensure the tasks assigned are completed promptly.

The role does not currently have any leadership accountability, but the incumbent is expected to support and participate with the team-based environment within the Administration.

Work hours remain flexible, but normally our hours are 8:00am to 4:30pm.

Salary is commensurate with qualifications and experience. Range $43,630 - $47,840

About the Role

Job Accountabilities & Deliverables

1. Financial Management

· Perform data entry duties and maintain accurate records of financial transactions

· Processes accounts payable and receivables in Sage 50 software system

· Complete bi-weekly payroll for all staff, and monthly payroll for council

· Conduct cash, bank, and credit card reconciliation, ensuring accuracy

· Process quarterly utility billing and other payments, using the Sage 50 accounting software

· Prepare and make bank deposits for all Village of Fundy Albert accounts

· Assist with month-end and year-end closing procedures. Submit monthly and quarterly remittances

· Prepare period or cost statements or reports

· Responsible for rental agreements; information collected, payments and record keeping of bookings

· Issue purchase orders

· Support external auditors

· Respond to customer inquiries, maintain good customer relations and solve problems

· Maintain confidentiality of financial information

2. Administration

· Maintain filing system of financial materials and records

· Perform various administrative duties in support of and as assigned by the Treasurer.

· Maintain office supply inventory

· Coordinate maintenance of office equipment

· Act as a back-up to manage incoming calls, greet office guests, resolve and/or escalate inquiries and complaints, manage mail, and process in-person payments.

· Other duties and tasks as assigned from time to time.

3. Records Management Duties

· Assist the Assistant Clerk/Office Manager with legislative compliance;

· Manage financial records from creation to final disposition;

· Prepare financial records for annual destruction;

· Maintain coding, filing, storage, retrieval, and cross reference index systems for all financial records;

· File all forms of documents (paper or electronic) as per the Municipal Records Authority.

Required Experience, Skill Set & Education

· Minimum College Diploma (Accounting/Business/Bookkeeping)

· Minimum one (year) accounting experience

· Experience with Sage 50 software considered an asset

· Self-motivated individual with strong people skills, demonstrated discretion and professionalism who will take ownership of the role and responsibilities

· Strong organizational, presentation and planning skills

· Computer skills – Word, Excel, PowerPoint, MS Office Suite

· Valid New Brunswick Driver’s License in good standing

· Willing to work to create and support a team-based environment
