Job description

Our client is currently looking for an executive assistant in the West Island. Are you passionate about being an executive support person and looking for a dynamic career with a fast-paced team? The Executive Assistant is responsible for providing administrative support at the executive level to one or more executives in meeting their functional responsibilities and business objectives.

Responsibilities
Draft letters and documents for the President and the Director of Operations
Attend various meetings and committees, take notes
Prepare all correspondence, agendas and minutes of meetings as well as agreements of various

Distribute minutes, notices of meetings and agendas for committee meetings
Organize the logistics and coordination of various special meetings outside the office (hotel and room reservations, room
rooms, select rooms and menu, prepare schedule, organize activities, prepare invitation letters

Prepare speeches, addresses and presentations
Screening telephone calls from his 2 immediate superiors
Maintain the agenda of the President and the Director of Operations;
Provide administrative support to his/her immediate superiors;
Open and sort the mail of his immediate superiors;
Open and sort the mail of his immediate superiors; Take care of the logistics surrounding the travel of his immediate superiors, if necessary: accommodation,
Transportation, etc.;
Participate in the organization of events;
Maintain, file and update files related to his/her department;
Any other related task

Qualifications
Proven coordination, planning and organizational skills
Proven ability to write texts and presentations as well as to
translation
Inborn sense of customer service
Discretion, team player, dedicated to the task
Respect for ethics and values and integrity
Ability to communicate and adapt to a variety of audiences
Demonstrate autonomy and initiative
Flexibility and ability to adapt to change

Ability to work under pressure

Excellent command of French and English grammar
Bilingualism, spoken and written
Mastery of MS-OFFICE software (Word, Power Point, Excel and Access, Outlook)
in a Windows environment
At least 5 years in a similar position
