POSITION SUMMARY
Economic Development Winnipeg is looking for an experienced and passionate Sales Administrator who is enthusiastic about making an impact on Winnipeg and its future. Department: Tourism Winnipeg
Reports to: Director of Business Development - Tourism
The Sales Administrator works as an integral part of the Tourism Winnipeg business development team that is responsible for attracting business meetings, conventions, and special events to Winnipeg, contributing to growing the visitor economy. The Sales Administrator supports the Business Development Managers and Client Service Coordinator, manages requests for proposals and bids, supports external stakeholders in the local tourism industry.
RESPONSIBILITIES/FUNCTIONS
- Collaborate with Business Development Managers and Client Services Coordinator to create and assemble bids and proposals.
- Communicate clearly and concisely to stakeholders, client requirements and specifications for meetings and accommodations. To collect and verify stakeholder responses which supplement bids and proposals.
- Collaborate with Marketing and Branding to create and maintain custom bid book pages, video bids, and other materials which support business development activities.
- Assist in the collection of bid letters of support from various government levels and other relevant parties.
- Conduct research and competitor analysis to support the positioning of Winnipeg in bids and sales presentations.
- Build and manage reports in the CRM that support sales and servicing activities and results for internal and external stakeholders.
- Responsible for documenting and maintaining Tourism Winnipeg’s systems, documents, and internal processes. Including various monthly and quarterly reports.
- Monitor and manage the integrity of CRM records to ensure accuracy.
- Work with systems administrator to ensure CRM functionality.
- Administer, document, and manage the City of Winnipeg’s Special Event Tourism Fund in collaboration with the Finance team.
- Coordinate with clients to facilitate the City of Winnipeg’s Special Event Tourism Fund and provide support throughout all stages prior to and past the events.
- Maximize collaboration with industry stakeholders by developing solid working relationships within the local tourism sector.
- Maintain a strong product knowledge of tourism stakeholder offerings.
- Provide training and support for external stakeholders.
- Manage and optimize Tourism Winnipeg’s efficiency and maintenance of systems, documents and internal procedures.
- Work with and support activities of the Project Management team as required.
- Undertake special projects as required.
- Work responsibly in accordance with the Corporation’s Policy Playbook.

EDUCATION/EXPERIENCE
- Post-secondary education from an accredited college or university would be considered an asset.
- Minimum of two years’ experience as a sales/business development administrator or coordinator or comparable experience
- Previous experience in tourism/hospitality industry preferred.
- Significant technical knowledge and experience is required in client relationship management-CRM software (Salesforce Lightning and Experience Cloud), Microsoft Office (Teams, Outlook, Excel, Word, PowerPoint, etc) and Adobe Acrobat DC and InDesign.
