About the Position: This position is responsible for carrying out the administrative and reception functions of the front office, including but not limited to: operating a multi-line switchboard, directing calls, tracking messages, responding to client inquires, processing, mailing and filing of all final client reports.
Specific Responsibilities
- Process a variety of paperwork, reports, documents and records including collating, mailing, copying, word processing, faxing, e-mailing etc;
- Enter data, edit & prepare reports, spreadsheets and documents;
- Maintain and stock office equipment (fax, copy, mailing machines, printers) and inventory of office supplies;
- Assist in the coordination of events and activities for internal groups, guests and visitors;
- Manage and order catering and beverage supplies;
- Schedule and maintain boardroom, meeting room, and training room facilities;
- Manage petty cash, including all reporting requirements;
- Review orders, invoices, and waybills and verify purchases/receipt;
- Works with purchasing and receiving departments to ensure invoices and packing slips are coded for Waterloo and Hub Depots (Richmond Hill, Mississauga, London, Ottawa) and are sent to accounting in a timely and organized manner
- Operate multi-line switchboard, directing calls and taking messages when necessary;
- Receive, sort, log, and distribute all incoming messages, calls, mail and e-mail in a timely manner;
- Greet and direct visitors including carrying out security and safety check-in;
- Assist in the hiring process and induction, including preparation of training and records maintenance;
- Assist in the preparation, maintenance and control of quality records, SOPs, documents, and registers;
- Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
- Maintain a positive work environment through active team participation and a focus on quality customer service
- Observe established safety regulations and comply with all ALS health and safety policies and procedures;
- Other duties as assigned.
Required Knowledge, Skills & Abilities
- Strong customer service focus, interpersonal and organizational abilities;
- Pleasant and professional telephone manner;
- Excellent English communication skills, written and verbal;
- Excellent computer skills in Microsoft Office Suite (Word, Excel, Powerpoint, Outlook);
Required Qualifications
- Completion of Grade 12;
- Minimum of 2 years office related experience;
- Completion of an office administration certificate or diploma preferred.
Physical Demands
- Ability to stand, walk or sit for an extended period of time;
- Reaching by extending hand(s) or arm(s) in any direction;
- Finger dexterity required to manipulate objects with fingers (ex. using a keyboard).
- Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities;
- You may be exposed to unpleasant odours.
