Spark Power, a trusted partner in energy in North America, is looking for an Executive Assistan t for our Oakville Head Office. The Executive Assistant provides senior administrative support for the President & Chief Executive Officer (CEO) and members of the Senior Leadership Team. As an integral member of the team, the Executive Assistant will be touchpoint for corporate, customer and other stakeholders. With a focus on efficiency and effectiveness, the Executive Assistant ensures seamless communication and operational flow within the executive office while upholding the highest standards of professionalism and confidentiality. This role presents a dynamic opportunity to contribute directly to the leadership team's effectiveness and the overall achievement of our organizational goals.
What will do you as the Executive Assistant?
- Fully manage and represent the office of the CEO – inclusive but not limited to managing an active calendar of appointments, preparing, and proofreading documents and researching information, and arranging travel plans.
- Provide executive-level administrative support to the Chief Financial Officer and Chief Operating Officer.
- Act as an extension of the Senior Leadership Team (SLT) by assisting all team members in functional and operational matters as required.
- Organize and prioritize executive tasks and commitments, ensuring timely completion and successful attainment of objectives.
- Take on special projects to support the CEO and SLT with a strong ability to navigate cross-functional departments and divisions.
- Compile agendas, create presentations, and assemble briefing materials for meetings, fostering efficient communication among executive team members.
- Arrange travel logistics, including accommodations and itineraries, for Senior Leadership Team, optimizing cost-effectiveness and time efficiency.
- Prepare and meticulously review expense reports, invoices, and other financial documents promptly and accurately.
- Interact with key clients and partners to deliver a confidential and professional experience on behalf of the organization.
- Proactively seek to deepen understanding of organizational operations, with ongoing ability to speak to operational matters.
- Exercise discretion and confidentiality in handling sensitive information, including proprietary data, financial records, and personnel matters.
- Maintain electronic and physical files meticulously, ensuring adherence to company policies and accessibility standards.

Do you have the Spark? Here's what we're looking for:
- Experience – Minimum of 3 years experience providing Executive support to C-level executives
- Education - Completion of a post-secondary program in Business Administration or relevant program is an asset
- License – Valid driver's license
- Advanced experienced with Microsoft Office software, including Outlook, Excel, Word and Power Point is essential.
- Experience with NetSuite is an asset.
- Experienced using video conferencing and web-based applications and other technologies
- Ability to work in a fast-paced environment with the ability to pivot and readjust priorities as business needs change
- Ability to exercise independent judgment and discretion in dealing with highly confidential matters
