EDUCATION ADMINISTRATIVE ASSISTANT - Term Position The Education Administrative Assistant shall assist in the overall public education administration and clerical duties for the Treaty Education (TE) Team in order to ensure that TE services are provided in a professional and effective manner. Treaty Education Administrative Assistant will be responsible for: 1. Coordinating and planning all Treaty Education training sessions, including site booking, catering, and any additional resources required, for both in person and online training sessions. 2. Organizing and coordinating various meetings, and preparing minutes and related documentation, resources, schedules, agendas, reports, facilities, and logistics for Internal Team Meeting. 3. Assisting Facilitation team with resources needed for any Treaty education training sessions. 4. Scheduling and confirming meetings/invitations with various individuals and organizations and maintain calendar and itinerary information, notices and alerts for the Education Team. 5. Compiling information and data required by the Education Manager for the preparation of briefing notes, reports, and evaluations as required. 6. Preparing all TE related travel requisitions for the Education Manager's signature and approval. 7. Database monitoring, all training registrations, and preparing for any Treaty Education Kits for distribution. 8. Participating in the TE Implementation Team meetings including preparing meeting summary notes for distribution. 9. Assisting in coordinating and participating in joint partnership Committee meetings and any other educational meetings that may arise including preparing meeting summary reports. 10. Maintaining inventory of TE Treaty Education resources and reorder new resources as required. 11. Maintaining a TE Administration filing system. 12. Participating in external conferences by setting up TRCM display table, when required. 13. Other duties as assigned by Operations Manager and/or Treaty Commissioner. QUALIFICATIONS Education and Experience • A certificate or University degree in Office Administration or related field with proven administrative skills and/or a combination of equivalent education and related experience. • Excellent oral and written communication skills in technical and plain language writing including, but not limited to, drafting letters, agendas, and minutes. • Ability to set priorities and organize workload effectively and efficiently. • Demonstrated proficiency with Mac Apple operating systems using Office 365 and software. • Skills and experience with travel and financial requisitioning is desired. • Ability to work independently and as a member of a multi-disciplinary team of professionals; and • Ability to deal with highly confidential and sensitive matters with discretion. SALARY RANGE: Commensurate with experience and education.
