Job description

We are seeking a clinic coordinator to join a well-established cosmetic clinic in the heart of Toronto. If you are a people-person with a passion for aesthetics, we want to
hear from you!

 

The Role
You will play an integral role in ensuring the smooth day-to-day operations of the clinic. Your key responsibilities include assisting with administration duties and providing top-notch client service, including but not limited to answering phone calls and emails, scheduling clients, promoting services, and collaborating with our team of Nurse Injectors.

 

Responsibilities:

● Engage compassionately with our clients to ensure they feel recognized, heard, accommodated, and encounter a premium hospitality experience at all times.
● Efficiently handle all front desk tasks with high attention to detail, including greeting clients, answering phone calls, providing phone consultations regarding procedures offered in the clinic, replying to emails, appointment scheduling, confirming appointments, processing client payments, data entry and reporting.
● Maintaining a professional and clean front desk and reception area.
● Receiving deliveries to the clinic & picking and packaging e-commerce orders.
● Supporting clinic ownership with marketing and social media initiatives.
● Assisting in maintaining cleanliness of treatment rooms, common areas and store rooms.
● Maintaining all clinic policies and procedures.

 

Qualifications:
● 1+ years of administrative experience in the medical spa or skin care field
● Strong client service skills and impeccable communication skills
● Solid work ethic, organizational skills and an ability to manage competing priorities effectively while remaining efficient in your delivery
● Critical thinking and problem solving ability
● Tech savvy and proficient with MS Office (MS Word, Excel, Outlook)
● Ability to work weekends and evenings based on business needs

 

Nice to Haves:
● Experience using Google Workspace
● Experience using a CRM/EMR, specifically Jane software
● Post-secondary education in Spa Management or similar topic

Job Type:
● Full-time (35.5-37.5 hour per week)
