Position: Accounting Clerk - Regional Food Services
Reports to: Youth Pathways Consultant
Role:Support the work of the Regional Food Services Manager and the South Shore School Food Program. The Accounting Clerk will report to the Youth Pathways Consultant and the Food Program Steering Committee and collaborate with other Departments in the Regional Centre for Education.
The Accounting Clerk is responsible to maintain a platform for consistent and collective reporting from the school cafeterias to ensure that the cafeteria budgets, sales, invoices are reliable and robust. The position is also responsible for supporting the work of the Manager and the Food Service staff in the schools.
Education:
- Post-secondary training in accounting, audit or finance.
- Minimum of three years’ experience working in the field of Accounting/Finance.
- Very proficient in MS Office (Excel, PowerPoint, and Word software).
- Experience using SAP software would be considered an asset.
- A valid N.S. driver's license and access to a reliable vehicle.

Task Dimensions:
Operations / Implementation
- Support regional staff and Steering Committee to promote and implement all aspects of the school food program for the SSRCE Public Schools.
School level Operations:
- Support cafeteria staff to accurately complete the financial tracking form.
- Review financial information and consolidate monthly.
- Identify unexpected variances and investigate with school staff as needed.
- Advise Manager of variances and suggestions for solutions for information for their regular school visits.
- Complete monthly transfers in School Cash Online to record breakfast and equity meal.
- Maintain cost base value for these transfers.
- Review staffing hours and rates regularly to ensure they correspond with hiring package
- Costing recipes and working with Manager on revisions.
- Support Manager in results of audits – completing audit reports, follow ups with appropriate regional staff or complete documentation that may be needed.
Regional Level Operations:
- Support Manager in overall vision of Program.
- Filing yearly licenses with the Department of Agriculture and maintaining database.
- Prepare monthly consolidated financial reports for Steering Committee for both school budgets and regional budgets.
- Present and discuss reports to Steering Committee and others as requested.
- RootED Board financial reports – prepare on a frequency to be determined and discuss with the Treasurer.
- Maintaining appropriate filing system for all financial reports and records (for RootED Board, Schools and any applicable regional budgets)
- Purchasing equipment, as advised by the Manager, by ensuring the procurement process is followed, ensuring delivery and proper account coding, etc.
- Develop a plan to standardize the procurement practice for school food for the future with a focus on local where possible.
- Present to, get feedback from and develop with Manager and Steering Committee
- Develop a structure of what universal lunch program would look like from a financial perspective.
- Present to, get feedback from and develop with Manager and Steering Committee.
- Schedule steering committee meetings, board meetings, and other meetings as required.
- Document, communicate and maintain meeting minutes for all non-board meetings.
- Communicate follow ups from those minutes to appropriate individuals.
Staffing:
- Support the Manager and other Regional Centre for Education departments to have vacancies advertised, interviews scheduled, hiring package sent, pay rate and hours clearly articulated, on boarding and off boarding process followed, schedule exit interviews if appropriate, etc.
- Ensure appropriate school food service staff is accurately completing the financial tracking form.
- Responsible for scheduling and logistical organization of staff in-services as advised by Manager.
- Calculate staffing ratios, update on a regular basis, provide information with variances identified to Manager.
- Support the Manager in scheduling routine performance appraisals, keeping up to date records, etc.
Communication and Collaboration:
- Collaborate with Manager regularly to support the program.
- Support Manager with all tasks.
- Develop monthly social media post plan, review with Manager and RCE communication department, ensure they are posted, etc.
