The facilities Coordinator is responsible for the day-to-day operations and administration of property projects and administration of The Salvation Army Hamilton, Halton and Brantford Housing and Support Services
KEY RESPONSIBILITIES:
Specific Duties :
- Capable of providing “hands on” solutions to facilities concerns in the ministry unit that are unable to be completed by the frontline facility staff.
- Ensure daily vehicle inspection/safety logs and mileage logbooks are being properly kept.
- Develops and maintains the daily, weekly, monthly task checklist for housekeeping/janitorial and maintenance staff.
- In the absence of the facilities manager, the facility coordinator will provide supervision and scheduling of janitorial/maintenance and housekeeping staff.
- Under the direction of the facility manager, the facilities coordinator will be required to schedule servicing and regular maintenance equipment according to manufacturer’s recommendations.
- The facilities coordinator will be required to complete maintenance/janitorial tasks in situations but not limited to when the ministry unit is experiencing a staffing shortage.
- In consultation with the facilities manager, the facilities coordinator will conduct regularly scheduled fire drill in all locations under the ministry unit.
- Reviewing and completing all facility request in the ministry unit in a timely manner.
- Ensure onsite management is provide constant update on all facilities request and plan for completion.
- Capable of completing basic maintenance tasks including and not limited to plumbing, painting and other general upkeep of the facilities in the ministry unit.
- Providing oversight to contractors in the ministry unit.
- Keep confidential all business and client information of the project before and after the term of employment.
Staffing:
- In the absence of the Facilities Manager, the facility coordinator will ensure that the ministry unit has the necessary staff to operate and maintain the project.
- In the absence of the facilities manager, the facilities coordinator will facilitate and communicate, in written and oral form, regular and timely performance evaluations for all subordinate staff to ensure excellent job attitude and performance.
- May be required to assist with recruitment and training of janitorial/maintenance and housekeeping staff.
- Performs and ensure the facilitation of positive service levels in all contact with stakeholders, and meeting the standards set by the Salvation Army Hamilton, Halton and Brantford Housing and Support Services and the mission goals of The Salvation Army in Canada.
Project Maintenance:
- In consultation and collaboration with the facilities manager, the facility coordinator will ensure annual inspections are conducted and ensure the ministry unit is in compliance with all municipal and Salvation Army regulations.
- In collaboration with the facilities manager, the facilities coordinator will ensure the proper maintenance of ministry unit according to a high standard of cleanliness and repair. Exercise care and responsibility in areas of safety, appearance and the long–term preventive maintenance of the ministry unit’s equipment and environs.
General Reports and Information:
- Providing a detailed monthly report of facilities inspection to the facilities manager or designate.
- Keep a detailed track of all janitorial/maintenance supplies and ensuring all supplies are within the ministry unit allocated budget.
- From time-to-time, the administrator will accept other jobs-related assignments that further the goals.
WORKING CONDITIONS:
This is a Permanent Full-time position with 40 hours per week . Flexibility in scheduling is required. The work schedule is determined in consultation with your supervisor and may vary according to requirements of responsibility. Applicable shifts include a ½ hour unpaid meal break.
Shifts : 08:30 a.m. – 17:00 p.m. Monday to Friday
- Working environment may vary based on the ministry unit requirements.
- Travel and on-call are associated with this position.
- Schedule may vary according to requirements of the ministry unit- some weekend and evening work may be required.
- Ability to lift/move up to 40lbs.
- Potentially working with aggressive clients.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Completion of post-secondary education in facilities management.
- Non-Violence Crisis Intervention Certification and CPR/First Aid Certification would be an asset or willingness to obtain.
- Valid Ontario Class “G” driver’s license. A current driver abstract that is satisfactory to the Salvation Army, in its sole discretion is required.
- Alternative combinations of education and experience may be considered.
EXPERIENCE AND KNOWLEDGE:
- Minimum 3 years of prior related experience in the areas of custodial services, administration, general repairs (i.e. electrical & plumbing), building systems, fire safety, electrical systems, supervisory, statistics and reading legislation/contracts or an equivalent combination of education and experience.
- Have demonstrated supervisory skills including experience supervising the work of others in a property management environment.
- Have good knowledge of the Ontario building and fire codes, WHMIS, and occupational health & safety requirements.

- Able to obtain a Government of Canada Reliability Status Clearance that is satisfactory to the Salvation Army, in its sole discretion.
- Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening.
- Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
