The KBC Ministry Administrator serves full time as part of the staff team at KBC, bound together in our work by our common faith in Christ, and so upholding the beliefs, values, mission, and ministry of Kanata Baptist Church. Under the direction of the Pastoral Team Leader, the KBC Ministry Administrator functions onsite at the hub of our ministry as the chief administrator and office coordinator as well as giving oversight to the rest of the administration team, all with a view to facilitating and supporting the staff, volunteer leaders, and ministries of Kanata Baptist Church.
The role requires a positive, enthusiastic, and collaborative attitude. It also requires a strong mix of the practical capacity to independently initiate and complete tasks along with the ability to relate well to volunteers and others seeking to pursue God’s Kingdom purposes in the world. The Ministry Administrator helps ensure faithful use of resources by staff and volunteers and offers creative solutions to problems as they arise. Serving as a key member of the KBC leadership team, this is a pivotal role with significant responsibility and it is a wonderful and rewarding opportunity to serve Jesus Christ and His church.
Overview of Church and Community
Kanata Baptist Church (KBC) began in 1975 as a mission work in the growing community of Kanata, west of what was then Ottawa. The congregation met in a local school during its early years and steadily grew into a viable and dynamic Christian community. Over this period we purchased land and built the first facility in 1985. The building served well as a worship, teaching, and education center for its various ministries.
After much discussion and prayer the facility was significantly altered to reflect the present structure. This new facility, completed in 2001, was designed to meet fresh needs in education, worship and administration. It is full of the latest in technology and forms a wonderful home for the varied ministries and outreaches of the church community. The building itself is warm, friendly and multi purpose. The presence of art, lovingly created by church artisans, fill the walls and give expression to our faith and journey together.
Role and Responsibilities
General Summary of Responsibilities
- Provide direct administrative support to the Pastoral Team Leader
- Provide administrative support to other Pastoral or Ministry staff, as well as key volunteer leaders at KBC
- Provide administrative support for courses or programs offered by KBC
- Provide administrative support for weekly worship services as well as special worship or other events
- Supervise the KBC administrative staff, including assigning and delegating duties, to ensure adequate work coverage for regular and special project requirements for both KBC Congregation, Inc., and KBC, Inc.
- Supervise KBC Summer Camp Director and support/facilitate Summer Camp staff hiring, ensuring appropriate programming, policy compliance, and crisis management
- Offer HR support, in coordination with the Finance Administrator, including matters related to benefits or disability leave
- Act as primary contact point for contractors, ministry partners, legal, insurance, or other related matters (some finance matters may be delegated to, or addressed in coordination with, the Finance Administrator)
- Act as primary contact point and give some oversight for matters related to IT and facilities, including coordinating with the contractors and volunteers involved with IT support
- Maintain policy compliance coordinating their application under the guidance of the Pastoral Team Leader (i.e. Abuse Prevention Policy, Privacy Policy, Personnel Policy, etc.)

Preferred Skills
Expectations & Requirements
- Must be, or be willing to become, a member of Kanata Baptist Congregation, Inc. (incl Believer’s Baptism)
- Must take our Hearing God Seminar and the local Pastoral Care Training Course within the first year of employment
- Excellent interpersonal, leadership, and self-management skills
- High initiative with a servant heart and positive ‘can-do’ attitude
- Strong verbal and written communication skills
- Ability to maintain the highest level of confidentiality
- Ability to self-adjust in order to provide effective support for different personalities and situations
- Ability to work with and adjust expectations for volunteers
- Experience with a faith community,
- Experience with Microsoft Office Suite and general office administration
Assets
- Experience with the charitable sector / not-for-profit corporation environment
- Familiarity with QuickBooks and finance/banking practices
- HR experience
- Familiarity with Planning Centre and Pro-Presenter software
- Music Theory Training
- Familiarity with Church Renewal
Allotment of Time:
As a guideline, it is anticipated that the percentage of time spent on the responsibilities stated above, over the course of the year, and based on a 37.5-hour workweek, will be as follows.
- General Administration 30%
- Ministry Support 25%
- Discipleship & Worship 25%
- Facility and IT 20%
It is understood that this role is an in-office role. It will require some evening and weekend work, in addition to regular duties relative to Sunday morning worship including attendance.
