As an Administrative Assistant you will be part of a dedicated and professional team working to provide day to day administrative support to the Managers, Coordinators, and staff of the Real Estate and Development Services business unit. Primary duties include:
- Provide calendar management, email, and phone support, prioritizing requests and resolving scheduling conflicts.
- Organize meeting event support including preparing agendas and documents, taking minutes, identifying, and following up on action items, arranging catering and/or travel arrangements.
- Prioritize and respond to information and requests from members of Council, including Mayor and Councilors, internal and external stakeholders, business unit and other City of Calgary staff, and citizens.
- Order supplies and maintain inventory for business unit.
- Provide support for 3-1-1 service requests.
- Reconcile monthly corporate credit card statements for division.
- Research and compile information, prepare reports, presentations, and correspondence.
- Create and maintain files in accordance with corporate and business unit records management policies.
- Provide administrative support for the recruitment and onboarding of new staff to the business unit.
Qualifications - A completed 1-year certificate in an administrative field with at least 3 years of related administrative experience.
- Intermediate proficiency with Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint) and AdobePro is required.
- Prior experience with calendar management and meeting logistics is required.
- Knowledge and experience with AP workflow, Financial Supply Chain Management (FSCM) and Physical Objects will be considered an asset.
- Experience with 3-1-1 service requests is an asset.
- You have the ability to assess requests and prioritize items that require immediate attention.
- Strong organizational and planning skills to complete a high volume of work in a fast-paced environment.
- Success in this position requires effective problem-solving skills, excellent communication skills, the ability to build collaborative working relationships, and the ability to complete tasks with high quality output.
