Position TitleScheduling Coordinator

Position Summary

Do you have experience with timetables and data analysis? Are you looking to join a team that embodies Red Deer Polytechnic values? The Enrolment Management team welcomes you as their new term-certain, part-time Scheduling Coordinator.

The Scheduling Coordinator is responsible for the coordination, implementation, management and maintenance of course (Credit and Trades) timetable development, space utilization, as it pertains to the academic and non-academic timetables, as well as examination scheduling. The Scheduling Coordinator works in collaboration with the Student Records Office, Facilities Booking Office, Campus Management, IT Services, Admission, Registration, Information Services, Centre for Teaching and Learning, Institutional Research as well as the Schools to implement and maintain the scheduling system.

The incumbent must handle multiple projects within a fast-paced environment, within strict timelines and is open to constant challenge and change. A high degree of technical knowledge, problem solving, initiative, independence of action and ability to achieve results under deadlines is required.

Position Responsibilities

Plans and Coordinates the Scheduling Process

• Develops timelines for yearly Timetable Development process to align with vital dates in Academic Schedule.
• Creates the rules for scheduling courses, rooms, academic blocks, instructors and exams.
• Delivers training and provides information to those involved in the timetabling and exam scheduling processes.
• Identifies instructor, course, room, academic blocks and department constraints regarding the timetabling process and recommends or implements resolutions.
• Develops procedures and rules for timetabling and scheduling exams with stakeholders.
• Collaborates with stakeholders to develop and implement effective business solutions for the Scheduling Process

Manages the Scheduling Process

• Interacts with Deans, Associate Deans, Program Leads, Operations Managers and other staff as required to facilitate the scheduling process.
• Designs, develops and prepares relevant reports and forms to assist Schools in the planning of their Timetable data for the following academic year.
• Provides consultative services and advice to Schools on the development of academic blocks, use of scheduling ties, constraints and patterns.
• Creates and provides access to timetable schedules, reviews requests for changes with Associate Deans, makes recommendations and implements changes.

Course Systems Management (Infosilem/Banner)

• Acts as the key contact and super user of the Infosilem Suite (Timetabler, Exam and DCU).
• Applies course and program changes approved by Academic Council.
• Analyzes Timetable change requests for implications to students, professors and space.
• Works collaboratively with IT on the data integration between Banner, Suite and Enterprise.
• Maintains system upgrades of all Infosilem applications.
• Conducts testing for system upgrades with Banner related course catalogue/scheduling forms.

Projects, Research, Testing and Data Analysis

• Collects data and composes reports for benchmarking and makes recommendations.
• Conducts ongoing scenario testing for program and facility planning purposes.
• Provides consultation, data and system reports to departments and service areas for Polytechnic initiatives.

Required Qualifications

• Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of University in a related program representing four years of study or equivalent in Business Administration, Arts, Science or Information Technology.
• Two to three years of related experience in a post-secondary environment
• Student Information and Scheduling Systems (i.e. Banner and Infosilem)
• Advanced level with Microsoft Office
• Developing and delivering workshops and/or training sessions
• Conflict resolution and negotiations

Preferred Qualifications

• Reporting applications or computer programming (i.e. SQL) an asset

Salary or Hourly?Salary

SalaryStarting at $37.23 per hour

Benefits and Compensation Information

An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits.
