As the Facilities Design Coordinator
You Will:
- Conduct needs assessments with internal stakeholders to ensure office area layouts, furniture, and desks meet member’s needs.
- Create conceptual designs, sketches, and layouts (by hand and computer aided), and develops reports; outlining design layouts and costing.
- Develop scope of work (e.g., office layouts, furniture designs), evaluates alternative options and costs, performs project design and drafting, and reviews for Building Code issues.
- Assist the Manager in preparing and monitoring project budgets and provide budget updates to the Manager, as required.
- In collaboration with the Manager and Materials Management, develop and coordinate Requests for Proposals (RPF’s), pre-qualification (vender of record), and public bids.
- Review and develop design documents, including but not limited to proposals, product specifications and/or strategic initiatives and presents recommendations to the Manager.
- Stay current with product manufacturer specifications and discontinued products to ensure furniture standards are up-to-date; collates information and proposes alternate solutions to the Manager as required.
- Assist the Manager in developing content and creating presentations to provide members with
- updates and various training sessions, including but not limited to project updates, furniture ergonomic training, and space hoteling. Presents information sessions as required.
- Maintain a product literature library, warranties of furniture pieces and systems, and facilities electronic and hard copy drawings, as-built drawings, and fire plans.
- Work closely with Health and Safety to ensure workplace regulations (e.g., WRPS directives, policies/procedures, and Ministry of Labour regulations) are met.
- Prepare and interpret ergonomic assessments, propose solutions and procures suitable furniture for different member needs.
- Plan and coordinate telecommunications, data cabling, radio systems, appliances, and millwork layouts when designing spaces.
- Review detailed vendor and/or contractor shop drawings for accuracy.
- Liaise with architectural, engineering, and interior design consultants to plan, coordinate, monitor, and implement work, such as construction/renovations and furniture supply/installs.
- Provide technical assistance to members related to furniture and furniture systems.
- Track furniture through asset management; develop and maintain a furniture lifecycle replacement schedule for the Service.
- In partnership with the Regional Facilities Management Division (Regional Facilities), plan and coordinate furniture layouts and furniture install for larger capital projects.
- Report any service issues to the Regional Facilities Client Representative.
- Perform other related duties as assigned.

You Have:
- Three (3) years of experience with space planning/interior design and commercial systems furniture.
- Successful completion of a three-year diploma in interior design, architectural technology or related field. A combination of education and experience may be considered.
- A valid Class ‘G’ Driver’s License with no more than six (6) demerit points required to travel within and outside of the Region.
You Are:
- Experienced using AutoCAD and Microsoft Office programs, including Word, Excel, PowerPoint, Outlook, and drawing management software.
- Knowledgeable of mechanical and electrical systems (e.g., lighting, plumbing, heating, ventilation, air conditioning).
- Knowledgeable of construction trades and technology including, but not limited to site grading, drainage, paving, roofing, concrete and masonry, structural steel, and sewage systems.
- Able to participate as a as an effective team member and to support project values compatible with the organization
- Familiar with relevant portions of building codes, Ontario Fire Marshall's Regulations, CSA Standards, TSSA regulations, contract drawings and specifications, and forms of agreement.
- Knowledgeable in areas such as architectural space planning, interior design, commercial systems furniture and modern workplace design.
- Able to meet police security requirements and maintain confidentiality
