The Business Coordinator / Technical Support as a member of the YWCA Toronto Employment team, is responsible for coordinating and implementing all business-related activities of the Employment Ontario model of service delivery to ensure that the goals, objectives and outcomes, as specified in the guidelines and contract agreements, are accomplished and for ensuring all administrative, financial and technical related duties are completed. The Business Coordinator will work as part of the team, contributing to quality service delivery and achievement of program goals while maintaining an effective working relationship with the community and in accordance with the Mission and Policies of YWCA Toronto.
ABOUT YWCA TORONTO – YWCA EMPLOYMENT CENTRE (2425 Eglinton Avenue East) YWCA Toronto Employment Centre 2425 Eglinton Avenue East is a customer-focused program model for job seekers and employers, with focus on women, young women and gender-diverse people. The YWCA Toronto Employment Centre is funded by the Ministry of Labour, Training and Skills Development through their Employment Ontario Division (EO). We act as a one-stop service for all jobseekers and employers. We use our resources to support all job seekers, especially those more distantly removed from the workforce, to reach their goals.
KEY RESPONSIBILITIES - Assists the Manager in budget preparation;
- Monitors budgets and expenses in consultation with the Manager;
- Prepares quarterly financial reports and prepares periodic reviews of the budget status;
- Prepares financial statements for YWCA quarterly reviews, year-end reports and program proposals in consultation with the Manager;
- Responsible for the timely submission of month end data to the funder in accordance with the Employment Ontario business model;
- Oversees in consultation with Manager the daily operation of the Employment Ontario Information System (EOIS), CaMS and YWCA Client Tracking System (CTS) databases which tracks and reports on client information;
- Responsible for an effective performance management system; tracks, analyzes and prepares statistical reports to identify risks to program delivery; provides strategies to address program risks and advises manager of discrepancies or concerns;
- Ensure that all administrative activities and requirements for the programs are done in accordance with funder requirements;
- Supports the team in creating and maintaining intake, workshops, staff schedules and reports in order to support the efficient delivery of services as outlined in the EO guidelines and in accordance with the Employment Service model;
- Responsible for the effective co-ordination and implementation of the policies and procedures surrounding the data management;
- Acts as the main designated Service Provider Registration Authority (SPRA);
- Supervise the Client Service Worker and Administrative Assistant;
- Assists in the efficient operation of the computer systems in conjunction with the Manager of Information Technology;
- Assists with proposals and other Ministry of Labour, Immigration, Training & Skills Development (MLITSD) reports and forms.
QUALIFICATIONS - In-depth knowledge of commerce, business administration, accounting or office management as normally acquired through a 4 year undergraduate degree;
- 2-3 years post–secondary education in the computer/technology field (Cases for Equivalency will be considered);
- 3-5 years directly related work experience;
- 3-5 years supervisory experience required;
- In depth knowledge of data management systems such as the MLITSD 's CaMs system and the Client Tracking System;
- Excellent computer skills and knowledge of computer systems, hardware and various software packages;
- Experience in report generation essential;
- Excellent hardware and software troubleshooting skills;
- Working knowledge of accounting software;
- Detail oriented with excellent organizational skills;
- Excellent oral and written communication skills required;
- Strong interpersonal skills;
- Strong and creative problem-solving skills;
- Commitment to working with people from diverse backgrounds.
