BCIT’s
Test Centres department is seeking a
temporary, full-time (1.0 FTE ) Assessment Administrator . This position is responsible for the day-to-day operations of an assigned test centre and provides testing and assessment services for the institute and external organizations with a high level of accuracy, confidentiality and customer service. The administrator issues and/or maintains a wide variety of internet, computer/software and paper based examinations and operates the learning management system. This position provides services at all test centre locations
Duties & Responsibilities DUTIES AND RESPONSIBILITIES : Test Centre Operations - Operates the institute’s internet/computer based learning management system (the system)
- Provides student orientations including test centre policies, procedures and rules, hours of operations and instruction on accessing exams and marks on the system
- Keeps current on test centre and institute policies and procedures related to examinations, grading and student conduct, and those related to BCIT programs offered in high schools throughout the province
- Adheres to Transport Canada and European Aviation Safety Agency assessment regulations and procedures as required; keeps up to date on changes and revisions that affect the testing environment
- Generates a variety of business enterprise system reports related to course offerings, student enrolment and assessment
- Prepares invoice forms and handles credit card transactions for external clients
- Assists instructors with booking exams, accessing student grades, exams and statistical reports, prepares, revises and keeps tests centre schedules current
- Distributes supplementary materials to students as requested within established guidelines
- Maintains backup copies of all examinations administered in the test centres
- Monitors lab and student’s computer and web usages; restricts web site access for internal and external clients; operates and monitors video security systems and replays incidents as required
- Cross trains in all test centres to ensure consistency and quality assurance.
Test Centre Invigilation - Invigilates individual and group examination sessions including verifying student identification and eligibility; releases exams through the system and distributes paper-based examinations; ensures prescribed time limits are adhered to
- Ensures a high level of invigilation at all times; observes and physically moves within the test centres on a frequent basis
- Schedules and invigilates examination sessions for external, post-secondary institutions, ensures availability and access to specified internet/software is available, paper work is completed and exams are returned in a timely manner
- Prepares incident reports regarding student conduct issues and communicates to the appropriate level within the department and school or external clients
- Assists with the organization of and invigilates BCIT distance education prior learning assessments, WHMIS and entrance examinations for various programs.
Systems and Records Management, Administrative and Other Duties - Configures and revises exams and exam content on the system, based on data provided by the internal department or external client
- Codes examinations for uploading to the system
- Troubleshoots systems-related issues and escalates to the test centre supervisor, IT Services and/or Learning Teaching Centre as appropriate
- Prepares and submits a variety of work requests involved with system maintenance including instructor enrolments, examination uploads and graphics revisions
- Works with program assistants, Student Records/Registration and Apprentice Services in regard to direct entry student information; troubleshoots student registration issues
- Calculates and compiles grades and enters into Student Records documents
- Enters and/or edits marks into the system upon written authorization by the appropriate instructor/chief instructor
- May be required to provide and mark paper based exams and calculate marks when the system is inoperable, students write in the classroom or the Disability Resource Centre
- Word processes a variety of related materials, and prepares and updates Excel spreadsheets
- Orders and maintains office supplies and forms
- Provides phone coverage and customer service to walk-in clients
- Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP)
- Undertakes related duties as assigned, consistent with the job grade of this position.
Qualifications QUALIFICATIONS : Definition: The qualifications section for this position was developed using the approved job evaluation plan, agreed to between the BCGEU and BCIT. The qualifications represent the minimum qualifications required in the future (i.e. to be reflected in job postings) and do not reflect the incumbent’s existing qualifications
Education: Grade 12 plus completion of a one year certificate program in computer systems/database applications or the equivalent
Experience: Two years general plus one year experience, preferably in a post-secondary, computer based assessment/testing environment
Software/Computer Application(s) and Expertise: - Must be proficient using Microsoft Office products at an intermediate level
- Proven experience using and generating reports from databases, and preparing and using Excel spreadsheets
- Experience working with, and troubleshooting within an internet-based learning management system (LMS)
Communication/Interpersonal Skills: - Excellent communication and interpersonal skills with a strong focus on customer service
- Demonstrated experience dealing with sensitive situations with calm demeanor, tact and diplomacy
- Flexible self-starter with the ability to work independently and as part of a team
Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.): - Good judgement and initiative with a strong aptitude for attention to detail with a high level of accuracy
- Demonstrated skills in organizing a demanding workload and handling multiple, changing priorities
- Must work well under pressure, problem solve and make responsible decisions in a timely manner
Other Skills/Abilities: - May be required to work a flexible schedule with some evening and weekend work
- Must be able to work at any BCIT test centre, including satellites, on an as required basis

Salary Range Salary Grade 6: $54,603 - $59,099 per annum
Additional Salary Information External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment
