JOB DESCRIPTION
The Corporation of the City of Orillia has an opening for a Summer Records and Information Management Student in the Council Services Division of the Corporate Services Department. Reporting to the Assistant Clerk/Committee Coordinator/Records Manager, the summer student will work with the Administrative Assistant – Records Coordinator for duties listed below.
DUTIES
- Assisting the Council Services Division in transitioning various municipal departments onto SharePoint, the Electronic Content Management (ECM) System, including reviewing departmental records, analyzing and implementing business processes, working within the municipality’s Records and Information Management Policy and Retention Schedule and migrating records from shared drives into the ECM system.
- Providing support in developing electronic file plans and establishing metadata requirements.
- Assisting in the creation and delivery of information management training to one, or more, audiences within the organization.
- Providing support to digitization projects, including identifying records, and providing quality control.
- Assist with tasks related to physical (paper) records and information management, digitization and indexing updates.
- Other duties as assigned, including special projects and providing general clerical support to the division.
QUALIFICATIONS
- Enrollment in, or recent completion of, a post-secondary educational program related to Information Technology, Library Science, Archives and Records Management or Communications is preferred.
- Experience researching and analyzing information, determining the most effective means to organize your time, document your results, and meet required goals.
- Demonstrated understanding of the related concepts, theory and best practices in data and records management principles.
- Detail-oriented, organized, with a high degree of accuracy, have an ability to work well under pressure, prioritize tasks, and adhere to deadlines with effective time management skills.
- Enthusiastic, motivated, self-starter with a willingness to learn, who can work independently or as part of a team.
- Excellent problem-solving, judgment capabilities, customer service, organizational, written, and verbal communication skills.
- Demonstrated proficiency in Microsoft Office applications, advanced photocopy functions and internet use.
- Ability to move records storage boxes weighing up to 20 kg. from heights up to four meters using a personal lift device when necessary.
- An acceptable Criminal Records Check is required for this position prior to the commencement date, at the incumbent’s expense.
This is a contract position from May 2024 to August 2024. Compensation for this position is $16.55 per hour for 35 hours per week. Interested applicants are invited to apply by April 18, 2024.
