Job description
Position: Executive Assistant
Location: Downtown Toronto (Hybrid - 4x in office)
Job Type: Permanent
Salary: $70,000-75,000 + pension, benefits, bonus and 3 weeks vacation.
-Manage schedules and travel arrangements for Senior Directors.
-Assist in preparing materials for Board of Directors meetings.
-Coordinate with external auditors for audits and meetings.
-Process expense reports, invoices, and wire payments, resolve issues.
-Organize team events and social activities, including Wellness events.
-Draft correspondence and communications for the team.
-Prepare presentations, agendas, reports, and other documents.
-Schedule team and cross-departmental meetings.
-Maintain Time & Attendance records for the department.
-Organize and manage departmental filing system.
-Prepare documents for signatures and assist in the signing process.
-Provide courteous service to internal and external contacts.
-Handle sensitive matters with confidentiality.
-Identify and recommend solutions to improve department efficiency.
-Coordinate mail and distribute cheques for Finance Leads as needed.
-Mandatory post-secondary education, either a degree or diploma.
-Minimum of 5 years in an administrative role, with at least 3 years providing executive support within a large corporate organization.
-Strong communication skills, including the ability to interact confidently with senior-level management.
-Excellent proofreading and editing abilities.
-Previous experience in real estate is highly advantageous.
