The Plumbineers Plumbing and Heating/The Plumb Shack is looking for a an Administrator to join our Whitehorse based team!
Result Statement:
Excel as a professional and innovative Administrator for The Plumbineers/The Plumb Shack as you run day to day operations and support the Office Managers. This is achieved by progressive thinking, compliance, and accuracy in the core responsibilities - customer relations, clerical duties, and supporting tasks.
The position requires diligence with attendance, attention to detail, and excellent customer service. As this is a growing position, there is great potential of advancing through the company to higher level positions.
Work Listing:
General:
- Utilize software, computers, telephones, copy machine, and other standard office equipment
- Learn and operate according to office routines and systems
- Ensure guidelines, policies, and procedures are followed according to the company standards
- Represent The Plumbineers/The Plumb Shack in the development of new and existing client and supplier relationships
Clerical:
- Compose, edit, and review office correspondence
- Manage office operations including resources and supplies, licenses, subscriptions, equipment, insurance, and compliance
- Accurate and timely receipt keeping
- Scan documents
- Maintenance of Plumbineers/Plumb Shack email inboxes
- Upkeep and proper use of business systems including but not limited to:
- Timesheets
- Online and physical files
- Trackers
- Sign out sheets
- Create and update SOPs as they relate to duties within the Admin position
- Process client payments
- Price job materials
- Support the development and online publications of advertising
- Fulfill The Plumbineers/customer orders by picking orders from warehouse stock and researching/ordering new products
Warehouse:
- Organize and maintain warehouse inventory
- Accept and process deliveries
Supporting Tasks:
- Answer customer/public inquiries via email and telephone
- Maintain Plumbers scheduling app.
- Permitting for plumbing and heating work
- Create client quotes in QuickBooks
- Communicate, provide, exchange, and verify information to necessary staff to allow them to complete daily tasks
- Review and enter employee timesheets
- Project tracking and coordination
- Process and invoice picklists using Square
A candidate with experience in scheduling, permitting, and QuickBooks would be considered an asset. We are looking for someone who displays traits such as problem solver, self starter, and someone who works well in team environments.

Normal working hours are Monday to Friday, 7:30am to 4:30pm with an hour lunch.
