Project Manager Assistant
You will be working from our head office in Burnaby. Your regular hours will be 8:00am to 4:30pm, Monday to Friday.
This is a full-time permanent position and you will be eligible for great group benefits after a successful 3 month probationary period.
$22/hr. - $26/hr. Depending on experience.

O verview:

As a Project Manager Assistant, you will work with the Project Manager to provide exceptional customer service to our clients, insured homeowners, and sub-contractors.
You will assist the Project Manager with the daily administrative and project needs.
Roles & Responsibilities:
- (50% - Administrative – 50% - Customer Service)
- You will be required to efficiently complete administrative tasks, file and organize Information related to jobs, track and manage information on computer systems, prepare and submit invoices, purchase orders and job sheets, maintain and manage project files, prepare job costing and billing documentation and assist with collection duties to successfully close a job.
- You will proactively communicate necessary information to the right people, use sound judgment when dealing with clients, effectively follow up on concerns by phone, e-mail and customer visits, appropriately schedule and follow up with homeowners, property managers, insurance providers and sub-contractor needs.
Duties include:
- Management of KPIs relating to job duties (POMS, Truth, NPS, SLAs)
- Entry of all job information into our software programs
- Process billing and invoices for ongoing and completed jobs
- Correspond with homeowner, property manager, and insurance provider
- Administer customer satisfaction surveys and provide necessary follow up
- Assist Project Managers with phone calls, emails and scheduling
- Provide status reports and communicate regularly with clients
- Provide all necessary administrative support to the Project Manager
- Compile various monthly reports
- Prepare purchase orders, job sheets
- Perform site visits when required
- Follow up on outstanding receivables with vendors
- Xactimate – estimating
- Xactanalysis – Assignment management
Qualifications Required:
- 1+ years of experience in a similar role
- Ability to speak Mandarin a strong asset
- A desire to join a growing company
- Solid understanding of job costing and related accounting procedures
- Excellent written and verbal communication skills
- Able to make sound decisions and address concerns and requests in a timely manner
- Formal administrative and technical training or certification would be an asset
- Competent in Microsoft o365, especially Excel and Outlook
- Experience with RMS, XActanalysis, Xactimate, Encircle and Quickbooks is an asset
Language: - Mandarin (preferred) - French not required.
