Job Description

The Office Manager is responsible for overseeing and coordinating daily administrative activities to ensure the smooth and efficient operation of the office. This role involves managing office resources, supervising administrative staff, implementing policies and procedures, and facilitating communication within the organization. The Office Manager plays a crucial role in creating a productive and organized work environment.

Administrative Management:

• Oversee and coordinate daily administrative tasks, such as mail distribution, record-keeping, and office supply management.
• Implement and maintain efficient filing systems, both physical and electronic.
• Ensure compliance with company policies and procedures.

Communication and Coordination:

• Act as a liaison between different departments and management, facilitating communication and collaboration.
• Organize and coordinate meetings, conferences, and special events.
• Manage communication channels, including email, phone systems, and office messaging platforms.

Facilities and Resource Management:

• Oversee office facilities and ensure a clean, organized, and safe working environment.
• Manage office equipment and technology, coordinating maintenance and repairs.
• Monitor and order office supplies, ensuring availability for day-to-day operations.

Financial Management:

• Assist in budget planning and management for office-related expenses.
• Process invoices, expense reports, and other financial transactions.
• Maintain accurate records of office expenditures.

Policy Implementation:

• Implement and enforce office policies and procedures to ensure compliance and consistency.
• Address and resolve any issues or conflicts related to office operations.

Project Coordination:

• Assist in the planning and execution of special projects, as assigned by upper management.
• Coordinate project-related tasks, deadlines, and resources.

Qualifications

Experience:

• Excellent communication and interpersonal abilities.
• Proficient in office software (Microsoft Office suite, Google Workspace, etc.).
• Familiarity with basic financial management and budgeting.
• Leadership and supervisory experience preferred.
• The Office Manager is a key player in maintaining a well-functioning office environment, promoting efficiency, and contributing to the overall success of the organization.

Skills:

• Strong organizational skills with the ability to prioritize tasks and meet deadlines
• Excellent administrative skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Experience with budgeting and financial management
• Ability to effectively communicate both verbally and in writing
• Attention to detail and accuracy in all aspects of work
• Knowledge of office management systems and procedures
• Ability to handle multiple tasks simultaneously

Education:

• High school diploma, GED, or equivalent
• Two to three years’ experience in an office setting/manager role
