In accordance with the Mission, Vision and Values, and strategic directions of PHSA safety, including both patient and employee safety, is a priority and a responsibility shared by everyone at PHSA’s Agencies/Divisions/Services, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.
The Coordinator, Translation Services (TS) is responsible for the many phases of the Provincial Language Service (PLS) translation projects and provides administrative and logistical support to TS. This position processes translation requests and proofreads translated materials ensuring that PLS translation quality standards are adhered to. This position also coordinates the day-to-day administrative activities of the program such as filing, updating contract information, recruiting new translation contractors and sending out contractor communications.
What you’ll do
- Receives and processes translation requests and projects, sourcing appropriate contractor project teams, distributing work, and liaising with customers.
- Develops and maintains appropriate records of all projects and requests components/activities such as; spreadsheets, recruitment logs and AP and AR forms for accounting. Monitors quality and prepares and submits supporting documentation such as project tracking and translator contract tracking sheets and expense reports for all necessary financial and project evaluation processes.
- Collects, prepares and submits accounts payable and accounts receivable invoices from contractors to PLS Accounting team for processing according to Translation Services and PLS guidelines.
- Proofreads translated work comparing against source documents and customers’ specifications, interfacing between contractors and customers.
- Identifies, screens, and contacts contractors for recruitment and maintains an electronic database and paper documentation of qualified contractors. Conducts follow-up with assigned contractors to ensure the timely submission of quality work according to checklists and style guides and ensures invoices are submitted according to PLS guidelines.
- Screens incoming materials, prioritizes items for immediate attention and actions as appropriate. Responds to routine inquiries by composing and signing correspondence or drafting for signature. Processes incoming and outgoing paper, electronic and voice mail.
- Conducts follow-up with assigned contractors to ensure the timely submission of quality work and to ensure invoices are submitted according to PLS guidelines.
- Participates in the overall development and growth of the department and the PLS by providing feedback and input on improvements to Translation Services policies, procedures and processes including the development of templates and forms, and contributing to strategic planning by participation in team meetings
- Supports research activities related to program needs, including sourcing, reviewing and summarizing materials related to specific projects and initiatives.

Qualifications
- A level of education, training, and experience equivalent to a Certificate in an appropriate discipline related to Translation, Language, or Editing and Project Management and a minimum of 4 (four) years recent related experience.
- Oral and written skill in a second language considered an asset. Ability to work independently and as a member of a team. Demonstrated ability to use a computer at an advanced level including the internet, database, word processing, spreadsheet, and presentation software. Knowledge of general office equipment, practices and procedures and ability to maintain a wide variety of records and reports. Demonstrated organizational skills and ability to prioritize workload and work under time pressures to meet deadlines. Customer-service focused with ability to communicate with people from diverse cultural backgrounds and work effectively with multiple stakeholders in a supportive manner. Demonstrated ability to communicate effectively both verbally and in writing, and to respond diplomatically to both internal and external inquiries. Demonstrated ability to apply fundamental mathematical skills. Ability to type 50 w.p.m. Physical ability to perform the duties of the position.

Job Type: Regular, Full-Time
Salary Range: $47,064 - $61,771 year. The starting salary for this position would be determined with consideration of the successful candidate’s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.
