Position: Executive Assistant
Location: 165 Elmwood Avenue East, London, ON, N6C 0A8 (Hybrid office/work from home)
Start Date: ASAP
Compensation: Between $52,000 - $60,000 annually, depending on experience

Schedule:
• 40-hour work week
• Hybrid or work from home is permitted
• Regular travel between regional branches of the Association, as well as out-of-town travel 6-10 times per year is a requirement of the Executive Assistant
• Monday through Friday, but flexibility to manage a work schedule that will require attendance at early morning, evening, or occasional weekend meetings will be required
In this role, you will:
• Support the work of the CEO, Board of Directors and Senior Leadership Team (SLT) utilizing excellent time management and organizational skills
• Coordinate monthly Board, Committee and SLT meetings including agenda preparation/ distribution, recording of minutes, meeting logistics, and preparing draft correspondence
• Oversee the coordination of all aspects of the Association’s Annual General Meeting including notices, call for nominations, posting of meeting and other duties as required in accordance with the Association’s Constitution and by-laws
• Play a lead role in event planning for Board of Directors and Leadership
• Schedule meetings and appointments for the CEO, Board of Directors, Board Committee members and SLT as requested
• Ensure situations and/or activities which may contradict the Governance and Executive Limitations Policy of the Board of Directors is immediately communicated to the CEO
• Maintain association compliance with relevant legislation, ensuring by-laws and Board level policies remain relevant
• Monitor, revise and update, Board documents such as the Governance and Executive Limitations policies of the Association and work plans
• Ensure that the process of nomination, selection and election of Directors is executed as mandated By-Law Number 4
• Maintain association compliance with the Ontario Not-for Profit Corporation Act,( ONCA) and other relevant legislation, ensuring by-laws and Board level policies remain relevant
Education and Skills Qualifications:
• 2-year post-secondary education in business/office administration or related field
• 3-years related work experience in a senior administrative position
• Excellent communication skills, both written and verbal
• Above average business computer skills utilizing MS Office, in particular Power Point, Excel and Word (long document management) email and internet applications.
• Proficient in Adobe Acrobat
• Knowledge of the Ontario Not-for Profit Corporation Act,( ONCA) is an asset
• Training and experience in office administration and support of senior management and governance structures is an asset
• Participation in YMCA Canada Leadership/Management Development programs and/or similar programs is an asset
• The successful incumbent will be required to provide a current Criminal Reference Report as a condition of employment
• This role will require use of their own personal vehicle and must maintain a valid driver’s license
