Job description

As a Construction Coordinator Administrator, you will play a pivotal role in ensuring the smooth and efficient operation of construction projects. You will be responsible for providing administrative support to the construction coordination team, facilitating communication between various stakeholders, and assisting in project management tasks. Your attention to detail, organizational skills, and ability to multitask will be essential in contributing to the success of construction projects.

Responsibilities
Provide administrative support to the construction coordination team, including document preparation, filing, and data entry.

Maintain organized project files both physically and digitally.

Assist in the preparation and distribution of project-related documents such as contracts, proposals, and reports.

Communication Facilitation:

Serve as a central point of contact for internal and external stakeholders, including clients, subcontractors, and suppliers.

Facilitate communication between project managers, site supervisors, and other team members to ensure timely completion of tasks.

Relay important project updates, deadlines, and changes to relevant parties in a clear and timely manner.

Project Coordination:

Assist in the coordination of construction activities, ensuring that schedules are adhered to and deadlines are met.

Help track project progress, expenses, and resources, providing regular updates to the construction coordination team.

Collaborate with various departments to ensure the availability of necessary resources and materials for construction projects.

Documentation and Reporting:

Maintain accurate records of project-related expenses, invoices, and receipts.
Assist in the preparation of progress reports, budget analyses, and other project documentation as required.

Compile and organize data for project evaluations and post-project reviews.
Compliance and Quality Assurance:

Assist in ensuring that construction projects comply with relevant regulations, codes, and standards.

Support quality assurance efforts by participating in site inspections and monitoring the implementation of corrective actions.

Help maintain documentation related to permits, licenses, and inspections.

Qualifications
Bachelor's degree in construction management, business administration, or a related field (preferred).

Bilingual (English and French communication skills)

Proven experience in an administrative role in the construction industry.

Strong organizational skills with the ability to prioritize tasks and manage time effectively.

Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.

Proficiency in Microsoft Office suite and project management software.

Attention to detail and accuracy in data entry and record-keeping.

Knowledge of construction processes, terminology, and documentation is advantageous.

Working Conditions:

This position typically operates in an office environment but may require occasional visits to construction sites.

Regular working hours, but flexibility may be required to meet project deadlines or address urgent matters.
