This position is unlike any other you will find!

ROKband Pediatric HeadShape Clinics provides assessment, education and treatment to families of infants aged 3-18 months who present with head shape asymmetries such as plagiocephaly.

We are looking for a friendly, vibrant, welcoming person who loves working with babies and young families in a high-tech environment (ie 3D Scanning & 3D Printing). As the first impression families will see with our clinic, the Office Assistant plays a very important role in representing our clinic’s positive culture.

This position will proudly serve Kelowna and the Okanagan. The candidate must be excellent on the phones and email- providing clear, friendly direction and service to our amazing families.

With our proprietary cranial remodelling bands, advanced treatment programs and our rapidly expanding clinical care model, this is an amazing opportunity for you to develop and grow with an industry leading, world-class practice.

Responsibilities

As an Office Assistant you will;

• Be the contact point for families needing to connect with us
• Personally greet families as they arrive at our clinic
• Provide phone and email support to families and Clinicians in the Okanagan
• Liaise with Referral sources and provide exceptional care to and service to said referrals.
• Basic Charting
• Liaise with our team regarding daily operations of the clinic such as preparing client funding applications, client scheduling, preparing clinical reports and email/phone correspondence.

Key Competencies

• Friendly, warm demeanour with a smile
• Excellent time management and organizational skills
• Great with kids and relates well to young families
• Above average computer proficiency- CRM experience, scheduling software and experience with Microsoft Office would be considered a requirement. Bonus points for Quickbooks experience.
• Handle various softwares- including payment plans. Partia.ly and Stripe.
