About the Job
The Office and Human Resources Coordinator is an integral part of our team. The individual in this role helps ensure office operations run smoothly and requires an organized individual with excellent interpersonal skills.
Office Administration Responsibilities
- Maintain office budget.
- Manage all courier/shipping and receiving duties including managing and distributing incoming and outgoing mail.
- Answer phone calls, direct calls, and answer client inquiries.
- Greet and assist visitors when they arrive at the office, including clients, vendors, potential candidates, and employees visiting from other offices.
- Order and maintain office and kitchen supplies.
- Clean and organize office, kitchenette, and conference rooms.
- Establish vendor agreements for office equipment and building services.
- Ensure third-party office equipment and building service vendors are performing as expected.
- Coordinate building maintenance activities – cleaning services, security, building repairs, and scheduled maintenance.
- Submit overhead invoices to Accounting.
- Update and maintain phone, seating chart, and contact lists for the office.
- Schedule travel arrangements for potential candidates and other visitors as necessary.
- Manage the schedule for conference rooms.
- Plan local office social events, outings, friendly challenges, and more.
- Encourage and maintain a welcoming, professional, and safe working environment.
- Member of the Safety Committee
People & Management Responsibilities (HR)
- Oversee the new hire onboarding process and offboarding process for exiting employees ensuring all is executed effectively.
- Act as the ‘keeper of knowledge’ for new team members in orientation and for anyone who needs assistance, answer basic policy, payroll, expensing, and benefits questions, and refers more complex issues to higher-level People & Management team members.
- Support recruiting activities such as conducting and scheduling interviews, employment references, and coordinating and attending career fairs.
- Assist HR Manager and discipline leads with performance management issues, employee relations concerns, and corrective actions.
- Assist or lead developing and implementing local or international HR projects and initiatives.
- Evaluate and encourage employee satisfaction and engagement.
- Serve as investigation in-take coordinator for employee relations issues.
- Help coordinate and ensure the smooth operation of internship programs with members of our Talent and Technical teams.
- Assist with interpretation and compliance of company guidelines and procedures as well as provincial and federal legislation.
- Assist with the Workplace Safety & Insurance Board (WSIB) process including claims, follow-up, Return to Work plans, and accommodations.
About You
Successful candidates at Dennis Group are highly organized, professional, self-motivated, and energetic individuals with excellent communication and inter-personal skills. In addition, you have:
- A minimum of five (5) years of experience delivering full-service HR support.
- Certified Human Resources Professional (CHRP) designation (preferred).
- Bachelor’s degree in Human Resources, Business Administration, or related field (preferred).
- Understanding of Canadian employment laws and Ontario’s Employment Standards Act, as well as working knowledge of relevant provincial and federal legislation.
- Proficiency in MS Office.
- Proficiency using a HRIS.
- An ability to manage and prioritize multiple concurrent responsibilities.
- A strong attention to detail.
- Ability to be resourceful and anticipate the team’s needs.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift-up to 15 pounds at times.
Travel Requirements:
- Traveling will be limited, possibly up to 5%.
