Administrative Assistant
Medical Affairs
St. Joseph's Hospital - London, ON
Temporary Part Time
Temporary Part-time (3 Months)
The Administrative Assistant will provide administrative support to the Director, and to the department of Medical Affairs team including performing various duties that include assisting department team members with correspondence, publications and presentations, supporting various projects/events as required, financial and accounting related duties; and other secretarial support. You will act as a resource and a communication link for information within the department.
Here’s what you get to do:
- Maintain, track and and communicate appropriate policies to ensure compliance with policies and procedures
- Provides technical and procedural guidance, maintain and update the department’s website pages
- Assists the Coordinators with finance activities such as i.e. billing, supplies inventory and ordering, communication systems
- Requisition office supplies, equipment and furniture, ensuring supplies are accessible to departmental personnel
- Ensure office equipment and furniture are operational and coordinate preventative and restorative maintenance/repair schedules
- Prepare and distribute agendas and minutes for meetings, perform follow-up and/or implementation of items resulting from minutes
- Arrange meeting rooms, meals, and audio visual and equipment services for meetings/events
- Schedule and confirm appointments for Coordinators and other team members, using judgment to reschedule or book appointments according to changing priorities
- Handle incoming inquiries, prepare reports and presentation material including slides, word processing and spreadsheets
- Coordinate and oversee projects from draft to implementation/completion
- Support Human Resource functions as it relates to recruitment, payroll, performance and attendance management, and terminations
- Works in collaboration with the Director to provide secretarial/administrative support for the department
- Participates in planning and execution of various social and staff engagement activities, as determined by the Director.
Essential Qualifications
- College diploma in Office Administration (2-3 year program)
- Demonstrated intermediate level skill with Microsoft Office Suite, Office 365, Outlook, as well as knowledge of SAS/databases
- Minimum 3 years of experiences in a busy office environment, supporting a physician or a hospital administrative leader
- Strong customer focus with excellent interpersonal and problem-solving skills
- Demonstrated ability to work in a multi-task, busy environment
- Excellent communication skills, both verbal and written, including excellent grammar, spelling, proofreading and composition skills
- Strong attention to detail and accuracy
- Strong interpersonal skills with the ability to exercise considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature
- Ability to investigate and resolve problems, dealing with multiple levels of internal staff and external stakeholders in a professional manner
- Self-starter, demonstrating initiative, anticipating needs and willing to tackle additional tasks to support Director/department
- Previous experience working with physicians, residents, medical secretaries preferred

Immunization Requirements - Provide documentation you have received two doses of the Covid-19 vaccine (primary series, boosters and/or XBB) OR one dose of XBB vaccine at least 14 days prior to the start date.
- Provide vaccination records or proof of immunity against measles, mumps rubella and varicella (chicken pox)
- Provide documentation of the Tuberculosis skin testing
