We are looking for a Service Coordinator to join our team. This role is an integral part of our Service Department, consisting of full scope administration around customer queries, processing quotes, work order billing, and dispatch coordination.
Service Coordinator
Position Scope:
- Process, email and track all service quotes to customers, with key attention to detail.
- Manage customer portals, ensuring service call are acknowledged and completed, following up on incomplete jobs.
- Respond to and resolve customer inquiries regarding service call status.
- Support on dispatch coordination, including tracking jobs details, dispatching technicians, coordinating preventative maintenance programs.
- Price work orders for billing, invoicing in QuickBooks, and process and following up with Account receivables.
- Effective communication with internal staff and customers to ensure quality customer service.
- Costing and tracking projects.
- Filing work orders to maintain accurate and complete records.
- Reconcile technician work orders with timesheets.
- Provide administrative assistance and back up support to the Operations Manager and Service Manager.
Position Requirements:
- Proficient and in-depth working knowledge of Microsoft Word, Excel, Outlook and Windows.
- Excellent communication and customer service skills over the phone and in person.
- Willingness to learn.
- Ability to work in a fast-paced environment. Demonstrated ability to meet deadlines and prioritize a heavy workload.
- Strong multi-tasking and organizational skills.
- Related experience working the mechanical trades preferred.
