Job description
Our Client, one of the leading providers of professional bailiff services in Ontario, is seeking a Reception/ Admin Assistant to support their dynamic team.
As the Reception/ Admin Assistant, you will play a pivotal role in the daily operations of their bailiff services organization. This position is integral to ensuring the seamless functioning of the office and supporting the efficient execution of their diverse range of services, including commercial tenancy matters, municipal services, asset recovery, and more.

Work Hours: Mon to Fri from 8:30am-4:30pm or 9:00am-5:00pm
Location: North York (This position is exclusively on site.)

Responsibilities
-Professionally answer phone calls from clients and debtors as the first point of contact
-Monitor and manage office voicemail messages, distributing them to the relevant personnel promptly.
-Address inquiries and provide information with a polite and calm demeanor.
-Manage communication with clients and debtors to ensure a positive experience.
-Collaborate directly with the lead bailiff to process files efficiently.
-Enter relevant information into software programs with a high level of accuracy.
-Handle confidential information related to warrants.
-Work closely with head bailiff on data entry tasks to guarantee accurate information on documents
-Assist in maintaining organized and up-to-date files.
-Prepare packages for servicing and processing, ensuring all necessary documentation is included.
-Coordinate with the bailiffs to streamline the workflow and meet deadlines.
-Monitor and replenish office supplies
-Arrange couriers for the pickup and delivery of documents to and from the office.
Qualifications
-Post Secondary education in relevant field of study
-Minimum 2 years Proven experience as a receptionist or administrative assistant.
-Strong organizational and multitasking abilities.
-Excellent communication skills, both verbal and written
-Proficiency in Microsoft Office including Excel
-Exceptional telephone etiquette and customer service skills.
-Detail-oriented with a high level of accuracy in data entry tasks.
-Strong document management skills, including file organization and verification.
-Deadline-oriented and capable of managing time effectively.
-Ability to work well in a fast-paced environment
