As a Commercial Heating Quotes Administrator, you will play a crucial role in the procurement process by preparing accurate and competitive quotes for commercial heating customers. Your primary responsibility will be to liaise with clients, suppliers, and internal teams to gather necessary information and create detailed proposals. This position requires meticulous attention to detail, strong analytical skills, and excellent communication abilities to ensure the successful execution of the commercial heating department goals.

Wage range is $22.00-$25.00 per hour. Wages may be scaled with relevant education and/or experience.
Duties & Responsibilities:- Collaborate with sales representatives, customers, management, and technical experts to gather requirements for heating projects
- Review mechanical drawings to accurately assess project scope and materials needed
- Utilize pricing database, supplier catalogs, and historical data to compile comprehensive and competitive quotes
- Serve as the primary point of contact for clients regarding quote inquiries and clarifications.
- Communicate pricing details effectively to clients
- Address client concerns or modifications to quotes promptly and professionally
- Liaise with suppliers and vendors to obtain pricing, availability, and lead times for heating system components
- Negotiate pricing and terms with suppliers to secure competitive rates and favourable conditions
- Maintain relationships with key suppliers
- Stay informed about new products and technologies in the heating industry
- Maintain accurate records of quote requests, revisions, and approvals
- Organize and archive project documentation, including drawings, specifications, and correspondence
- Prepare and distribute formal quotations to clients and internal stakeholders in a timely manner
- Review quotes for accuracy, completeness, and compliance with client requirements and company standards
- Conduct thorough quality checks to ensure that quotes align with mechanical specifications
- Identify opportunities to streamline and improve the quoting process for efficiency and accuracy
- Collaborate with cross-functional teams to implement enhancements to quoting tools, templates, and workflows
Qualifications:- Completion of grade 12
- Previous experience in a similar role, preferably in the construction, HVAC, or mechanical contracting industry, working with commercial customers
- Proficiency in reading technical drawings, and specifications
- Strong mathematical skills and ability to perform accurate cost calculations
- Excellent verbal and written communication skills
- Proficiency in the use of computer office software
