Job description
Provides program assistance and support for Nursing and Home Support programs including a wide range of secretarial and receptionist services.
MAJOR DUTIES & RESPONSIBILITIES
- Provides program and student support for the Nursing and Home Support programs, resolves day to day problems and handles sensitive materials.
- Performs secretarial duties, which includes word-processing a variety of documents such as correspondence, contracts, evaluation summaries, exams, memos; including taking of minutes.
- Provides student support to students, including scheduling, facilitating documents for admissions and providing referrals and other communication.
- Provides support for program and course development and delivery as required.
- Sets up and maintains all filing systems, records and office supplies inventory; maintains, troubleshoots and reports malfunctioning office equipment.
- Liaises with Admissions and Records for the receipt of program applications and processes new and ongoing transfer applicants and assess their application portfolio for completeness.
- Informs both incoming and ongoing students of fees and any missing documentation.
- Assesses student transcripts for program requirements and monitors student's records and notifies the Chair/Program Coordinator of any deficiencies associated with promotion and graduation.
- Maintains all related student data files using the appropriate data base(s).
- Liaises with coordinators, faculty and students and coordinates activities associated with exams.
- Collects, sorts, distributes and may open mail for designated department.
- Arranges teleconferences and other meetings as required. Locates and assembles background information, books, physical facilities and equipment for meetings and may assist in arranging events.
- Maintains/updates/edits admissions packages and calendar copy.

QUALIFICATIONS
EDUCATION
- Grade 12 plus six months' post secondary education, or equivalent
EXPERIENCE
- Two years' related experience, including one-year experience with electronic data entry and word processing
- 6 months experience using the BC Provincial HSPnet System (a mandatory system for all student clinical placements)
SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB
- Ability to perform electronic word processing at 60 wpm and data entry
- The proven ability to take and transcribe minutes and correspondence at 70 verbal wpm
- Ability to communicate effectively both verbally and in writing
- Ability to deal courteously and tactfully with students, staff and members of the general public
- Ability to manage student files, records and maintain student confidentiality
