Our client, a leading foundation, is looking to hire an Administrative Assistant for the Partnerships Department in their downtown Montreal office.

Advantages
- 37.5 hours / week (telecommuting);
- 4-day week during the summer (normal work week is 30 hours, from July 1 to September 1, 2023, paid 37.5 hours);
- 3 weeks vacation + 2 weeks Christmas vacation;
- 2 weeks personal leave (redeemable in the first pay in December if not used);

Responsibilities
General administrative support for a team of 17 people;

Plan and coordinate files and logistics for meetings, committees and gatherings in conjunction with the Partnerships team;
Take notes, draft meeting minutes and liaise with other departments or external parties as required;
Follow-up on decisions and actions arising from team meetings;
Revise documents and ensure validity of information and linguistic quality control;
Layout documents and presentations (Powerpoint, graphics, etc.);
Participate in the proper administration of document management and archiving in line with organizational requirements;
Coordinate the planning and follow-up of certain meetings and events: calendar management, invitations, availability of guests and/or participants, etc. ;
Organize business travel: itinerary planning, travel reservations, accommodation and meeting arrangements.
Occasionally fill in at reception;
Any other related duties;

Qualifications
EXPERIENCE AND QUALIFICATIONS REQUIRED
> Diploma of Collegial Studies (D.E.C.) in office automation, documentation technology, human sciences, administration or any other relevant field;
> 3-5 years' experience in administrative support functions;
> Good understanding of information technology and documentation management (MS office - database);
> Fluent French writing and expression; good knowledge of spoken and written English (intermediate);
Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook);
Knowledge of Visio and SharePoint (an asset);
