Hyatt Regency Vancouver is seeking a dedicated, professional, detail-oriented individual to join our team as an Executive Assistant to the General Manager.

The Executive Assistant plays a critical role in assisting the General Manager and Director of Operations in confidential and high-level administrative support. This role is required to be onsite and must be flexible with the occasional early or late shift.

Salary range: $57,000 - $60,000 per year

Responsibilities include but not limited to:

· Assisting the General Manager and Director of Operations with administrative tasks while maintaining strict confidentiality

· Answering all incoming calls to the Executive Office 

· Managing calendars, travel schedules/itineraries and appointments as required

· Responsible for generating specific Executive reports as assigned by the General Manager and Director of Operations

· Organizing and administering non-disclosure agreements and other documents

· Assisting General Manager and Director of Operations with key projects related to hotel operations as assigned

· Corresponding with guests, VIPs, and World of Hyatt members with their inquiries and requests from pre-arrival or during the stay.

· Handling VIP reservations, welcome amenities, and scheduling meet and greets as required 

· Maintaining positive relationships with all guests/clients

· Updating guest profile notes and traces for future arrivals of returning guests.

· Maintaining a complete knowledge at all times of:

o All hotel features/services, hours of operation

o All room types, numbers, layout, décor, appointments and location

o All room rates, special packages and promotions

o World of Hyatt (Loyalty program) 

· Delivering superior guest service to guests that contact the Executive office, either in-person or by phone, and ensuring appropriate follow up and resolution to all inquiries and concerns

· Attending meetings to take minutes and distribute as needed

· Receiving and reading daily mail, paying special attention to items requiring immediate attention. Prepare outgoing mail and special mailings as assigned

· Maintaining and organizing all files and records up to date

· Planning and scheduling meetings and appointments

· Managing projects and conducting research

· Preparing and editing correspondences, reports, and presentations

· Assisting Operations teams with variety of ad hoc projects

· Gatekeeper for all incoming and outgoing gift certificates on trade outs and barters

· May be required to assist other administrative staff in the performance of their duties from time to time

Qualifications

Qualifications

· Minimum 2 years’ experience in an administrative support position

· Hospitality experience is an asset 

· Post-Secondary certificate or diploma 

· Proficient in Microsoft Office

· Hotel property management system experience is an asset

· Experience with project management pertaining to scheduling events, coordinating calendars and communication strategies is preferred

· Strong collaborative and relationship-building skills with cross functional teams internally along with external third parties

· Consistency in follow through, accountability and managing workload in the team

· Ability to work in a team, delegate and take direction

· Strong organizational and multitasking skills, have an attention to detail, ability to meet or exceed deadlines, to self-prioritize and to work independently

· Ability to complete assignments and manage communications within strict confidentiality guidelines

· Work ethically with honesty and personal integrity 

· Proven pro-active and entrepreneurial astuteness

· Strong verbal and written communication skills
