Come work as a Space Planner with Vancouver Coastal Health (VCH)!
Reporting to the Director of Space Planning and Optimization or designate, the Space Planner will perform activities in the areas of scope definition; space planning; and inventory analysis; and is also responsible for overseeing and supporting the strategy, planning and design for facilities projects of moderate size and complexity across Vancouver Coastal Health (VCH). This position is responsible for supporting project teams in development of functional programmes and assisting with project management. The Space Planner works closely with clinical staff to support documentation of clinical service plans; to provide feasibility studies; and to manage inventories of building plans and databases to align corporate needs with current and emerging best practices.
As a Space Planner with Vancouver Coastal Health you will:
- Deliver programming and planning for administrative, corporate, clinical and acute healthcare facility projects; provide support by conveying policies and priorities, directing work, and ensuring issues are resolved or escalated to appropriate level(s) to meet project deliverables and timelines
- Oversee scope definition, space planning, and design by liaising with user groups, clinical planners, equipment planners, project managers, and consultants for assigned projects. Create and review feasibility studies and schematic designs; provide input into design development documents, working drawings, and specifications to ensure functionality, fulfillment of programme needs, efficiency, cost-effectiveness, and consistency as well as adherence to technical standards. Ensure compliance with best practices, energy & environmental sustainability, and applicable building code.
- Convey information and respond to queries and concerns throughout the project process with respect to project status and design and construction matters; and provide frequent clear and concise reports to Facilities & Real Estate and organizational leadership regarding ongoing issues, progress updates, challenges, and opportunities.
- Plan assigned projects according to established departmental and industry methodologies to ensure successful and coordinated completion of projects by facilitating consensus with stakeholders (including physicians, clinical/operational staff, infection protection and control, housekeeping, external users, other Facilities & Real Estate team members, etc.). Monitor project charter, plans, budget, scope, schedule, expenditures, risks, and client satisfaction. Report on variances and impacts to deliverables; make recommendations to departmental leadership to mitigate cost overruns; monitor adherence to allocated budgets and timelines; and support delivery of successful projects.
- Lead or participate in meetings throughout the planning cycle. Receive input from stakeholders during planning stages of the project. Identify and manage issues and direct planning activities as required. Confirm the health authority’s interests are represented in resolution of problems and ensure meeting outcomes and decisions are accurately documented and follow-up actions are completed in a timely manner.
- Support site-specific space planning committees and develop strategies to manage site or organization-wide space pressures. Provide recommendations on options to improve the operation, efficiency and effectiveness of impacted business units.
- Sign off on drawings and changes as required and within authorized limits to ensure corporate and user needs are met; maintain current copies of drawings, plans, manuals, proposals, etc. for assigned projects.
- Support procurement of furniture and minor equipment required and assist with coordination of delivery and installation. Lead and/or facilitate any project-related decanting or moves.
Incorporate established safety, infection protection and control and risk mitigation protocols by contractors and organizational staff during project planning. - Provide leadership to other Facilities & Real Estate staff, including coaching, mentoring and direct supervision on a project-by-project basis as assigned.
- Carry out responsibilities in accordance with health and safety requirements. Immediately report unsafe situations by notifying supervisor or other appropriate personnel.
- Perform other related duties as assigned.
Education & Experience
- Minimum of a Bachelor's degree in Interior Design from a CIDA Accredited Programme or a related field together.
- Five (5) to seven (7) years' recent related experience participating, managing, leading and directing facilities planning projects in a complex institutional environment, or an equivalent combination of education, training and experience.
Knowledge & Abilities
- Knowledge of capital project planning and implementation theory and processes including design, construction and procurement within current standards, codes, bylaws and regulations.
- Proficient with AutoCAD (R2016 or higher); experience with Archibus is a definite asset.
- Competence with current BC Building Code and City of Vancouver Building By-law.
- Comprehensive knowledge of space planning principles and methodologies.
- Demonstrated ability to interpret and develop construction drawings and construction specifications.
- Ability to effectively manage multiple planning, design and construction projects simultaneously.
- Experience supervising, providing direction to team members, and fostering a respectful and motivating environment in which individual competencies can thrive.
- Able to work within a dynamic project environment with changing priorities.
- Demonstrated attention to detail.
- Strong interpersonal, communication, influencing, and conflict management skills.
- Excellent listening skills.
- Highly analytical and organized.
- Ability to operate related equipment including related software applications (e.g. MS Office Suite), comfortable working with enterprise software (e.g. SharePoint).
- Physical ability to perform the duties of the position.
- Valid class 5 driver's license.
