AWARE-NS is seeking a collaborative, and highly skilled, individual to fill the position of Administrative Coordinator, Resources and Communications. Reporting to the Executive Director, this position is responsible for day-to-day support to the Executive Director, the Board of Directors, and Occupational Health and Safety Program functions. This includes support for financial controls; daily operations; website and social media maintenance; electronic file management; data management, and report preparation.
Responsibilities of the Administrative Coordinator, Resources and Communications include, but are not limited to, the following:
Main responsibilities:
• Board of Directors coordination and communication
• Consultation with the AWARE-NS Executive Director to ensure policy, partner, and program integrity
• Coordination and support for internal financial processes
• Gathering, accumulation, and formatting stakeholder and funding reports
• Development and maintenance of stakeholder contracts, communication, and relationships
• Response to inquiries and requests for information
• Identification, evaluation, and organization of data from various sources
• Office operations organization
• Maintenance of the AWARE-NS learning management system, social media outlets, and website
• Identification, and support of, process improvement and change management opportunities
• Working independently, and as part of a team
Must have qualifications:
• 3 years of relevant professional experience
• Strong interpersonal and professional oral and written communication skills
• Highly developed organizational, prioritization, and time-management skills
• Knowledge of bookkeeping and income statements
• Exceptional knowledge of, and experience with, Microsoft Office Suite especially Outlook, Excel (advanced), Forms, Calendar, SharePoint, PowerPoint, and Teams; WordPress; and phone systems, as well as comfort and ease learning new software platforms
• The ability to write, effectively understand, and interpret complex written materials
• Strong research, change management, and capacity-building skills
• A professional and a positive attitude focused on total organizational success
Desired qualifications:
• Post-secondary education with a concentration in business
• Experience working with:
o non-profit organizations
o business representatives
o educators
o government agencies
• Experience working in:
o a team-focused environment
o the non-profit sector
o the healthcare industry
Nice to have qualifications:
• Human resources management experience
• Project management experience
• Experience with, or interest in, Occupational Health and Safety
