Job description
My Client, a growing Transit company, located in York, are currently looking to add an Executive Assistant to their team. This role is supporting a Director with some secondary support to other members of the team. Please note this role is full-time in office (Monday-Friday) based in York.
What you will do:
- Calendar management to include; scheduling and or rescheduling meetings, appointments, and events
- Assist the Human Resources & Training Manager with the posting of jobs and compiling of resumes.
- Coordinating parking and employee photo identification/access passes.
- Coordinate with senior internal and external stakeholders; synchronize cross-functional agenda items, organize and prepare presentations and materials for Committees, Board and other meetings.
- Compile, proofread, format and follow-up on Board Reports, documents, and presentations.
- Compose, create, format and/or edit a variety of highly confidential documents (e.g., correspondence, memos, contracts, proposals, reports, presentations, Standard Operating Procedures (SOP’s) and spreadsheets.
- Provide email management support, including: sorting, filing, responding and/or escalating as appropriate
- Order, monitor and manage office supplies and stock, office equipment and office general office needs and purchases.
The ideal candidate will have:
- A minimum of 4 (four) years of progressive experience in providing administrative and executive support services.
- Completion of a post-secondary program in office administration or a relevant discipline, or the equivalent.
- Ability to prioritize, organize workflow to meet deadlines and handle multiple tasks simultaneously, with the flexibility and adaptability to change directions based on changing priorities / requirements
- Excellent written business communication skills
- High degree of verbal communication skills, including the ability to convey information effectively by phone or in person
- Excellent interpersonal skills and demonstrates the ability to work with employees at all levels within and outside the organization in a highly professional manner at all times
- Advanced working knowledge / high level of proficiency of Microsoft Office programs (Excel, Word, PowerPoint, Outlook)
