Position Description
POSITION SUMMARY :
The HIM Administrator will work in close collaboration with the HIM Operational Analyst to support HIM operational work. The successful candidate will have thorough HIM knowledge and ability to effectively utilize software and applications to support HIM input workflows/requirements (PHA/PHIPA/Bylaw compliance/enforcement, analysis, internal and external electronic documentation review and accurate electronic filing of non-system generated documentation in the Legal Medical Record, routine end user support, data completeness) and HIM output workflows (PHIPA Access, Disclosure, routine Correction, Consent Directives, HIM Module Electronic Tables Data Accuracy, Patient Portal administration and routine end user support activity).
QUALIFICATIONS :
- Two-year College Diploma from an accredited institution
- Undergraduate degree preferred
- Medical Office Certificate, including completion of Medical Terminology required.
- Health Information Management Certificate from an accredited program completed or in progress; minimum of year one completed. Must be willing to obtain CHIMA Designation within 48 months of hire required.
- Must have experience working with Electronic Medical Record (EMR)/Clinical Information systems, preferably Epic systems.
- Must have experience and skill using MS Office suite, especial MS Word, Excel and Outlook.
- Clerical testing may be required as part of the selection process
- Customer service skills, conflict resolution, excellent communication skills needed to work with public and internal clients including physicians and registered health professionals.
- Minimum of 2-5 years applicable HIM operational experience or combination of 2-5 years formal CHIMA Accredited HIM certification program education and experience
- Must be confident and comfortable managing end user issues independently, may escalate unusual or highly complex issues.
- Excellent discretion, flexibility, attention to detail to ensure high level of accuracy and data integrity, as well as compliance with legal and policy requirements, especially those dealing with privacy and confidentiality of health information. Excellent analytical and problem solving skills.
- Must work with minimal supervision under urgent deadlines and be able to prioritize.
RESPONSIBILITIES :
- Monitor compliance with hospital policies, practices, and procedures governing creation and maintenance of the Legal Medical Record. Participate in monitoring and enforcement of Health Information Management standards for data completeness, accuracy, validity and timeliness.
- Conduct analysis of complex electronic charting issues to ensure compliance with SJHH and provincially regulated documentation standards and mandatory requirements using the Epic system electronic tools, including performing the duties of chart deficiency management and standards enforcement.
- Perform assigned tasks to support analysts with end user/provider support for Dragon Medical One (DMO), MyDovetale patient portal administration and other end user support within Epic system environment escalating issues to analysts and manager as required.
- Process authorized requests for access and disclosure in accordance with PHIPA using Epic system Release of Information modalities, including tracking of access and disclosure, preparation of statutory reports under the Freedom of Information and Protection of Privacy Act (FIPPA) and PHIPA.
- Must participate in Privacy and Access training and demonstrate ongoing competencies with respect to applicable PHIPA developments and IPC guidance and decisions.
- Provides MyDovetale patient portal end user support to patients, proxies and members of the public, escalating complex issues to analysts and manager.
- Conduct qualitative and quantitative analysis of system and non-system generated records to be ensure compliance with SJHH and provincially regulated documentation and records management standards, including review of clinical data to upload for electronic filing to the LMR.
- Processes routine requests for correction and consent directives under PHIPA, and in accordance with provincial eHealth standards, escalating complex issues to analysts and Privacy Office as required.
- Responsible for providing HIM information to public, staff and physicians, responding to queries.
- Support HIM compliance activities, including participation in project task groups and working groups as required.

Hourly: $29.66...$30.93....$32.21
