Our client, a leading architectural firm, is looking to hire an Administrative Assistant for their downtown Montreal office.

Responsibilities
Take calls, emails and mail from the associate, relay messages, process requests as well as documents and correspondence, contact clients to ensure follow-up;
Provide general administrative support to the Senior Associate;
Manage the associate's overall schedule, coordinating availability, face-to-face meetings, travel, establishing an efficient schedule and making all necessary reservations and bookings;

Process expense reports;
Revise documents in terms of layout, spelling, translation;
Draft and format letters, correspondence and reports;
Coordinate, plan and organize meetings and ensure the proper logistics of each meeting;
Participate in the drafting of service offers and fee proposals;
Create and update Excel spreadsheets;
Prepare work plans and schedules;
File and search documents (document management);
Write minutes of studio and client meetings;
Perform all other related tasks;

Qualifications
Professional or technical diploma in secretarial or administrative studies;
Minimum of 3 to 5 years in an administrative support position with senior management;
Proficiency in MS Office suite (Outlook, Excel, Word, Power Point, MS Project, Teams);
Proactive;
Bilingualism (English and French), both written and spoken;
Self-starter;
Diplomatic / Tactful / Discreet;
Structured / Organized;
Good stress management skills;
Knowledge of InDesign and Adobe (an asset);
Knowledge of Change Point (an asset);
