EXECUTIVE ASSISTANT TO THE ASSOCIATE CEO

Full-Time Permanent Position – Out of Scope

Hours of Work: Monday to Friday, 8:30 am to 4:30 pm, 37.5 hours weekly

Classification and Salary: P10 $88,797 - $109,790 annually

Location: 150 Henry Ave Winnipeg, MB

Vacation: 4 Weeks’ Vacation

Reporting to the Associate Chief Executive Officer (ACEO), the Executive Assistant will assist in supervising, monitoring, guiding, and coordinating the general day-to-day operations. As part of the Senior Administrative team, they will be responsible for scheduling workflow, office operations, and implementation of general administrative practices, policies, and procedures. The incumbent will also provide support to the ACEO through the following activities: type reports, letters, and memoranda; process incoming and outgoing correspondence; receive visitors; screen calls; take messages and determine urgency; maintain a filing system; complete and monitor financial forms and documentation; and schedules travel arrangements.

The ideal candidate for this role will have a minimum of 5 years experience in a senior Administrative Secretarial position and experience working in a political atmosphere. Have post-secondary education in the field of Office Administration. Is proficient in various software applications including Microsoft Office and CFSIS. Has the ability to maintain highly sensitive and confidential information, work effectively in a high volume and time-sensitive environment, and have excellent communication skills with experience in conducting oral presentations. The ideal candidate will also be knowledgeable about the Métis and Inuit Culture and Child and Family Services (CFS) laws, rules, ordinances, and regulations or can acquire within six months.

Before commencing employment, the successful applicant will be asked to provide a satisfactory Criminal Record Check with Vulnerable Sector Search, a Child Abuse Registry Check, and a Prior Contact Check upon hire at their own expense. A valid Manitoba driver’s license and the use of a personal vehicle are requisites as travel within and outside the city is required.
