Our Client is looking for a Supervisor/Front Desk to assist the Clinic Director in daily operations and to supervise, lead, empower, and coach our medical front desk receptionist team. This person will ensure all operational and service standards and procedures are adhered to, in order to maximize guest service, revenue, efficiency, and employee morale.

Acting under the supervision of the Clinic Director, the Supervisor/Front Desk is responsible to assist in the general management and operations of the clinic. In the absence of the Clinic Director, they will be the acting clinic leader responsible for clinic optimization, excellent customer service delivery, team engagement and to ensure smooth day-to-day operations.

Responsibilities
Assisting with Personnel Management :


- Help the Clinic Director to coordinate and supervise the distribution of tasks within the team.
- Assist in the interviewing, hiring and training of new staff as per the SOP on-boarding process.
- Assist in the ongoing development of team members through identifying, suggesting and helping plan training sessions for employees.
- Assist in the scheduling, on-going management and tracking of employee hours.
- Assist in the preparation and execution of weekly team meetings.
- Help with staffing updates and management of promotions on services and products.
- Help to promote employee engagement and cohesiveness amongst the team, addressing and resolving any conflicts that may occur in a prompt manner.
- Help to supervise and assist the front desk staff.

Assisting with Operations Management :

- Help to ensure accuracy of invoices and carry out deposits in accordance with established procedures.
- Help to ensure accuracy of batches at close of business day and forward them to the accounting department.
- Help to maintain a focus on continuous improvement and suggest changes to increase revenues.
- Assisting with the issuing invoices as part of the Employee Discount Program.
- Assist with maintenance and leasehold improvements.
- Assist with inventory including cycle counts, overcoming discrepancies and maintaining adequate stock levels.
- Escalate issues with proposed solutions to the Clinic Director as they arise.
- Assist with inventories and inventory reconciliations.
- Aiding with stock storage, system entry, and supply orders.
- Other administrative duties as assigned.

Assisting with Customer Relationship Management :

- Assist with clinic consultations.
- Assist in the organization and hosting of customer information evenings.
- Assist with social media.
- Help to verify the accuracy of treatment/product orders and ensure monthly follow-up of customer appointments by the team.
- Ensure complete customer satisfaction and resolve any dissatisfaction that may potentially arise escalating unresolved issued to the Clinic Director.
- Recommend solutions for the continuous improvement of the quality of services offered as well as Customer service satisfaction.

Qualifications
- Bachelor's degree in management, business
- At least three (2) years of relevant experience, ideally in a retail or service business.
- Fluently Bilingual in French and English (written, read and spoken) will be a great asset.
- Proficiency in Microsoft Office Suite.
- Experience in sales and personnel management is a must.
- Excellent communication skills.
